Position Summary:

This position will work closely with customers, engineers, auditors, project coordinator supervisor and managers. The Assistant Project Manager will be the key contact to proactively provide superior customer service to our clients and team. They will assist with the administering and managing of various projects as well as being involved in continuous improvement. The Assistant Project Manager must be a detail-oriented individual with project management/ administration experience who wants to contribute and add value to our organization.

Supporting IS Management, Engineering and Lead Auditors in the administrative aspects of the operations process, including the management of sales orders and invoicing, coordination and designation of projects, and the assignment of tasks to appropriate and designated resources.

Responsibilities:

Project Management of specified assigned clients and engineers - quoting, SORF set up, scheduling and invoicing for all projects assigned in a swift and efficient manner.

Liaise between customer and engineer for timely status and progression of projects.

Assure current Standards Terms and Conditions are on file for all current clients.

Align all quotes and purchase orders with correct Client number for ship to and bill to Client number generated in Dynamics for approval of all Sales Orders.

Implement and maintain the internal software system and Project Tracking Database. Ensure information contained therein remains current including company and contact information of customers as well as financial information for billing purposes.

Audit planning in advance by establishing and documenting due dates for each project task associated with client's certification requirements.

Generate quotations without errors per the rules and regulations of the Certification and Accreditation Body to ensure maintenance of client's certificate validity.

Schedule audits in advance for completion in accordance with established KPI's to comply with rules and regulations of the Certification and Accreditation Body to ensure maintenance of client's certificate validity including release of audits in the planning database 2 weeks prior to the scheduled audit.

Provide timely information and project status to customers, Lead Auditors and Key Account Managers involved. Routinely monitor and expedite project tasks to ensure timely completion.

Respond to external and internal customer enquiries within 24 hours (1 business day) and communicate in a courteous and effective manner in all circumstances including obtaining or providing information, answering questions, and relaying messages.

Effectively perform all duties to support organizational KPI's in association with audit planning, planning release, customer satisfaction and auditor utilization.

Efficient invoicing

Interim review of ICERT and PED Certificate listing for scheduling timely audits for your assigned engineers and auditors.

DYNAMICS - working to enter opportunities, quotes and eventually Sales Order requests for database information

PSE - working to enter opportunities, quotes and eventually Sales Order requests for database information

NetInformCert - become familiar and proficient with Certification Database - releasing of documents in advance of audit dates via database with assistance of Lead Auditors

Monitoring License fees and Audits: Responsible for scheduling all monitoring audits for ASTM, DAKKS, ANAB and PED working with engineers to Maintain current valid certifications for Auditing Team.

Your qualifications

Education and Experience:

Suitable Diploma, relevant advanced coursework a plus

3-5 years of project management experience or related experience

Proficient in current AP and AR Tools - YAMBS, MY BUY, PRINCE, CONCUR etc. for issuing and approving Purchase Orders for your assigned projects.

Experience in a service environment and project management are preferred.

Ability to plan and organize in a multi-tasking environment, while maintaining attention to detail and follow-through.

The ability to manage time effectively and to plan, organize and prioritize tasks is critical.

The ideal candidate is innovative, a self-starter and customer driven.

Strong written and oral communications skills are extremely important and the ability to work effectively as a team player is critical.

Represent TUV SUD products and services in a professional manner.

Accurate, clear, and timely communication of information, upward and lateral, including verbal, written and listening skills.

Reliable judgment that is consistent, adaptable to unusual situations, realistic, common-sense approach to job and problems.
