Essential Job Duties
Campus Planning and Strategic Investment seeks a highly organized and proactive Administrative Coordinator to support the unit's mission of shaping NC State University's physical campus through strategic planning, master planning, capital projects planning, infrastructure planning, sustainability, and facilities information management. This position reports to the Assistant Vice Chancellor and University Architect for Campus Planning and Strategic Investment and supports the 30-person unit while liaising with various university committees and departments. Key responsibilities and duties include but not limited to:

  • Provide comprehensive administrative support by coordinating schedules, preparing meetings, arranging travel, and managing departmental budgets

  • Organize and facilitate annual meetings for the Trustee's Buildings and Property Committee (BPC), Campus Design Review Panel (CDRP), and the Campus Development Committee
  • Facilitate the designer selection process by posting advertisements, monitoring proposal submissions, and managing Trustee engagement in collaboration with Design and Construction project managers.
  • Submit and monitor OC-25 documentation in the State Construction InterScope database, ensuring accurate record-keeping and tracking
  • Update and manage the Campus Planning website content on WordPress, including committee content updates
  • Organize capital and informal project as-built files in coordination with the Plan Room Librarian
  • Track services, contracts, and maintenance agreements to maintain budget alignment and prevent imbalances
  • Collaborate with project managers to schedule committee reviews and ensure completion of required documentation

  • Draft contracts for Campus Planning capital project studies based on designer proposals

Qualifications


Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Other Required Qualifications

  • Experience utilizing Microsoft and Google programs, budgeting, and reporting
  • Ability to communicate clearly and effectively to a variety of stakeholders
  • General office duties such as filing, saving documents, and being able to retrieve documents easily

Preferred Qualifications

  • Experience with an architectural, engineering, or other construction industry firm
  • Experience in an administrative assistant role
