JOB SUMMARY:

Under direct supervision, this position provides administrative support for the School of Education, focusing primarily on coordinating and managing field placements for students in local school districts, charter schools, and private schools. This includes student teaching (internship) placements, practicum placements, and observation hours. Other duties include maintaining the professional integrity of the office, performing secretarial and receptionist duties, maintaining electronic and manual files, and delivering customer service.

SPECIFIC DUTIES AND RESPONSIBILITIES:

Field Placement Coordination:

  • Serve as the primary point of contact for field placements, ensuring students are placed in appropriate settings for their student teaching, practicum, and observation hours.

  • Coordinate with local schools, charter schools, and private schools to secure placements for students, maintaining communication between the college and placement sites.

Student Support and Advising:

  • Advise students on the placement process, application requirements, and necessary documentation for field experiences.

  • Address inquiries from students, faculty, and school district personnel about placement procedures.

Documentation Management:

  • Maintain accurate and up-to-date records for all students in placement programs, including their student teaching, practicum, and observation hours.

  • Ensure that all required forms, agreements, and contracts are completed and filed properly.

Communication and Coordination:

  • Facilitate communication between the School of Education, faculty, students, and placement sites to ensure smooth coordination of field experiences.

  • Ensure that students are aware of deadlines, requirements, and responsibilities related to their placements.

Administrative Support:

  • Provide general administrative support, including answering phones, scheduling meetings, organizing field placement-related events, and assisting with any field trip or special program logistics.

Program Support:

  • Assist with the creation of flyers, forms, presentations, and other marketing materials to promote field placement opportunities.

  • Participate in program meetings and take minutes as needed.

Other Duties:

  • Perform other tasks as assigned to support the School of Education's mission and field placement operations.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:

  • Associate's Degree; two (2) years of related administrative experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

  • Knowledge of office administration, documentation management, and related equipment.

  • Prior Knowledge of the field placement process, including coordination with local schools and handling student records a plus.

  • Strong organizational and prioritization skills, with the ability to handle multiple tasks simultaneously.

  • Excellent communication and customer service skills, with the ability to work effectively with students, faculty, and external stakeholders.

  • Proficiency with Microsoft Office and other relevant applications, including data entry, managing records, and creating documents.

PHYSICAL DEMANDS:

This position classifies the physical exertion requirements as light work, involving lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. It may involve a good deal of walking or standing, or sitting for extended periods with some occasional pushing or pulling of controls.
