The Legal Recruiting Assistant is responsible for providing administrative support to our firm-wide legal recruiting team. This position assists team members in achieving the firm's strategic recruiting goals. A hybrid work schedule is available for this position.

Location: Boston, MA; Chicago, IL; New York City, NY;

Responsibilities:

  • Assist in department initiatives, as well as firm-wide recruiting and integration efforts.
  • Ensure each candidate meets admission and standing requirements with the appropriate Bars. Research and educate supervisor regarding any requirements and opine re: limitations and issues that should be advanced.
  • Assist with scheduling interviews, booking conference rooms, collecting feedback and managing travel arrangements.
  • Process candidate background/intake materials and follow up on data collected, including but not limited to:
    • Review hiring questionnaires; identify and collect any missing information.
    • Coordinate due diligence process with conflicts team.
  • Assist in candidate offer process, prepare offer letters and other-related materials.
  • Use templates to draft and send headhunter agreements and maintain tracking spreadsheet.
  • Update recruiting database, ensure appropriate correspondence is produced and candidate files are maintained.
  • Assist with competitive intelligence research projects.
  • Process expense reimbursements and invoices.
  • Assist with diversity initiatives by coordinating with People Operations to gather/maintain related reporting statistics.
  • Serve as the initial in-person contact for local candidates, monitor interview schedules and be a firm ambassador.
  • Perform other duties as assigned.

Job Requirements:
  • 1-3 years of experience in an administration role, preferably within a law firm or professional services environment.
  • Bachelor's Degree required. Work experience in lieu of a degree will be considered.
  • Team oriented; willingly offers assistance and takes appropriate initiative.
  • Develop and maintain strong working relationships with internal and external personnel.
  • Exhibit exceptional communication and organizational skills as well as strong attention to detail.
  • Interact effectively and develop strong working relationships with personnel at all levels.
  • Handle confidential information with utmost discretion.
  • Demonstrate the highest standards of integrity and respect.
  • Exercise good judgment and demonstrate basic critical thinking skills.
  • Demonstrate composure under pressure with the ability to multitask.
  • Possess strong technical skills, including proficiency in Microsoft Office Suite, databases, etc.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, are as follows.

  • Boston, MA: $48,649 to $66,963
  • Chicago, IL: $46,622 to $64,173
  • New York, NY: $50,677 to $69,753

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salar(ies) it reasonably expects to pay for the position at the time of this posting.
