Job Summary
The Project Coordinator, Sr, delivers best-in-class support to all stakeholders of the Career Management Center (students, alumni, employers, colleagues, external partners, and visitors) by supervising front desk operations and managing projects and programs that support positive career outcomes for Kellogg students.
Specific Responsibilities:
Front desk management, general
- Ensure daily coverage of CMC front desk, inboxes, and virtual front desk. Provide training and resources to rotation of staff.
- Provide exceptional customer service support to students, employers, and staff
- Field student questions and engage CMC staff for timely answers
- Lead manager of CMC inboxes
- Lead daily and annual resume review processes
- Lead interview room management, in partnership with KGH facilities
- Manage and process late cancelation for workshops and company events
Budgets & Financial
- Oversee accurate, efficient and compliant workflow of transactional processes within the CMC
- Purchase office supplies for department, manage inventory
- Process invoices for contract coaches
Project Management
- Supports the Operations team in planning and implementation or projects that have high levels of administrative oversight
- Manage Resume Review with external consultants including training, communication, invoicing
- Manage Case prep practice: manage communication with vendor, student surveys, assess results and prepare after action review
- Provides logistical and administrative support for the Coaching and Employer Relations teams
- Manage student access to platforms including CareerLeader, VMock, Standout
- Provide support for Mock Interview program as needed
- Manage room reservation for workshops and company events; partner with Student Life and KGH facilities on use of CMC interview rooms
- Manage development and maintenance of evaluation processes including associated metrics and key performance indicators
- Review & analyze outcome measurements and recommend changes & enhancements to improve programs and projects
- Collaborate with internal/external partners to implement changes designed to improve project goals and objectives
- Support implementation and evaluation of new programs and initiatives
Database management
- Contribute to updating information on a number of platforms including: Career Management System (CMS), Smartsheet, Sharepoint, VMock, Canvas, Career Leader, Standout, Campus Groups, etc.
- Supervision of Job Board Management and Support. Review, edit, and manage job board submissions. Monitor and track job postings for required review from employer relations team as needed.
- Create new job board postings from links provided to employer relations team.
- Troubleshoot student issues with Kellogg Job Board.
- Enter recruiter participation contact information into CMS
- Audit contact information and identify all contact records with blind contacts or generic emails. Work with employer relations team to collect information and update in the Career Management System.
- Review undeliverable emails in CMS and update record to reflect accurate information.
- Make recommendations on accurate database management.
- Serve on committee to review competitor, and state-of-the art developments to enhance, improve, and innovate program delivery to better meet goals & objectives.

Minimum Qualifications: (Education, experience, and any other certifications or clearances)
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- 2 years program/project administration or other relevant experience.
- Proficient at Word, Excel, PowerPoint

- Familiarity with Northwestern financial systems and other platforms (12Twenty, Canvas, Campus Groups, Slack, Smartsheet, Qualtrics, Salesforce, etc.)
Target hiring range for this position will be between $63,000 - $70,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
