JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office of Alumni Relations and Development (ARD) in the College of the Liberal Arts invites applications for an Events Specialist. This position will plan and manage all aspects of on-campus and off-campus events (in person or virtual), including those associated with the football team/Beaver Stadium Roar Suite; be responsible for general office support; and interface and develop relationships with the 400+ alumni/donors the office works with regularly.

More specific responsibilities of the Events Specialist include but are not limited to:

  • Manage all aspects of the office's events: this can include generating invite lists and sending invites; determining event needs; contacting vendors for catering, supplies, and facilities; plan post-event follow-up; serve as primary point person.
  • Responsible for all aspects of the annual Alumni Awards Banquet in coordination with the Associate Director of Alumni Relations and the strategic communications team.
  • Provide guidance and direction to other staff in the unit planning their own receptions.
  • Lead programming that engages alumni with the college; work with alumni sponsoring regional events.
  • Planning and execution of the Office's events involving the football program, including allocation of tickets, invoicing as well as managing the Roar Suite in Beaver Stadium.
  • Coordinate Alumni visits to campus (typically 200+ visits annually): preparing itineraries and communicating hotel information.
  • Serve as the subject matter expert within the Office for IT solutions and email management solutions, train, and support staff in the use of various technologies.
  • Provide backup support for Administrative Support Coordinator 4.
  • Office duties: scheduling meetings, events, and rehearsals; managing budgets for events and assisting with budget forms; preparing expense reports, and tracking expenses. The Events Specialist will frequently use the following software, systems, and applications: Microsoft Office Suite (SharePoint, Outlook, Word, Excel, Teams), Adobe Workfront, and College-25Live (scheduling platform), as well as the following which are specific to Penn State: Shop OnLion (system to procure goods and services), SIMBA (System for Integrated Management, Budgeting and Accounting), and LionPATH (Penn State's student information system).

Education and Experience: This position will be filled at the Intermediate Level, which requires an Associate's Degree or higher plus two years of relevant experience, or an equivalent combination of education and experience. Desired qualifications include excellent customer service and communication skills, experience in event planning; demonstrated professional judgment; an ability to be proactive and take initiative, and comfort in working independently and as a member of a team. In addition, successful candidates must either have demonstrated a commitment to building an inclusive, equitable, and diverse campus community, or describe one or more ways they would envision doing so, given the opportunity.

The salary range for this position, including all possible grades is:

$46,400.00 - $67,300.00
