CTD Temporary Summer Program Coordinator Assistant (SPCA)

CTD Academic Summer Camp at Northwestern University

The Summer Program Coordinator Assistant (SPCA) provides administrative support to the Summer Program Coordinator (SPC) and CTD administrative staff. Tasks include but are not limited to staffing the Summer Program Coordinator office; word processing; data collection and entry; hiring and onboarding paperwork management; staff, student, and family communication; managing student airport arrival and departure; and other clerical and administrative tasks. The SPCA works full-time, Monday through Friday, and on select Sundays.

Employment Dates and Compensation

Full-time work: April 21 - August 8, 2025

Hours: Monday - Friday, 7:30 a.m. - 4:00 p.m.; required one-hour unpaid break; additional hours and days required for Opening Days (Sunday 6/29 and Sunday 7/20) and Closing Days (Friday 7/18 and Friday 8/8)

Compensation: $19 per hour; 37.5 hours per week maximum

Qualifications

  • Office and project management experience required; bachelor's degree preferred.
  • Superior organizational, communication, and customer service skills.
  • Detail orientated and ability to solve problems creatively.
  • Flexibility and a positive disposition while working in a fast-paced environment.
  • Proficiency with data entry and cloud collaboration.
  • Must be able to lift 40+ pounds.
  • Ability to traverse distances of at least one mile with or without accommodation.
  • Have a valid U.S. driver's license.

General Responsibilities

  • Learn and implement CTD and Northwestern Policies and Procedures.
  • Uphold and promote the CTD Honor Code.
  • Follow all CTD rules and regulations concerning staff conduct, appropriate dress, program procedures, and other responsibilities as set forth in the staff handbook and by administrative staff.
  • Assume program-related responsibilities as requested by CTD administrative staff.
  • Maintain confidentiality of information regarding students, families, and staff, as well as conversations that take place in CTD and Northwestern offices.
  • Collaborate with the Program Assistant and CTD business office to process and track all staff hiring paperwork.
  • Collect and schedule student airport arrival information, communicate with families, and work with Residential Directors and Program Coordinators to develop an efficient procedure and staffing assignments for handling student airport arrival and departures.
  • Personally travel to O'Hare airport to serve as a CTD person to contact when CTD students and staff are at O'Hare.
  • Assist with preparations for the program and distribution of program materials.
  • Maintain accurate financial records and submit expense reports.
  • Supervise Office Assistants on an as-needed basis in collaboration with other Program Assistant staff.
  • Perform all clerical tasks as requested.
