Job Title: Receptionist

Location: 770 E. Atlantic Avenue, Delray Beach, FL 33483

Work Model: Onsite 5 days per week

Duration: 3 months Assignment

Shift/Hours: 40hours/week, 8:30 am - 5:00 pm EST, M to F

Summary:

  • Answers all incoming calls through a multi-line call directory, takes and relays messages, answers question and directs calls to the appropriate person.
  • Greets clients, visitors and partners, determines their needs and directs them to the appropriate person/waiting area/room.
  • Handles client and partner meeting reservations, via Microsoft Excel, Outlook and Teams for approximately 20 company's employees.
  • Performs other duties specific to the individual business area.



Tasks & Responsibilities:

  • Greets clients and partners conducting business with their assigned area and directs them to the appropriate person. Interacts continuously with all clients.
  • Maintain daily events electronically through Microsoft Excel, Outlook and Teams.
  • Maintenance of multiple meeting rooms to include, as needed, set up and tear down of daily beverage service station.
  • Must be able to lift full carafes of water and coffee onto a hand cart and push cart containing several of these items to the various meeting rooms.
  • Maintenance of Reception area to keep it clean and neat
  • Assisting with special projects as assigned by manager.
  • Issuing of visitor passes and parking validation
  • Handles incoming mail and packages for the bank including sorting, researching and emailing partners.
  • Performs various administrative duties such as preparing documents or reports.



Qualifications (must haves):

  • One to three years prior experience in an office receptionist/administrative assistant position.
  • Experience in banking, lending or trust is preferred but not required.
  • Professional, well dressed and strong communication skills.
  • Proficient in Microsoft office programs including Word, PowerPoint and Excel.
  • Proficient in Microsoft Outlook preferred but not required.
  • Ability to operate a multi-line call directory system.
  • Strong verbal and written communication skills.
  • Strong interpersonal and teamwork skills.
  • Possess strong customer service principles and practices.
  • Possess strong understanding of administrative and clerical procedures.
  • Possess strong knowledge of computers and relevant software applications.
  • Strong time management skills.
  • Solid attention to detail and ability to handle shifting priorities while meeting deadlines.
  • Strong personal resourcefulness.
  • Possess flexibility and capability to adapt to new procedures and be receptive to change.
  • Ability to work in a multi-team environment.
