HR Operations Specialist ACCOUNTABILITY STATEMENT

The HR Specialist conducts research and analyzes data, prepares metrics and reports. Regularly assess and monitor the HR's compliance with laws and regulations. This includes staying updated on any changes to legislation and recommending necessary adjustments to procedures. Conduct regular audits of HR practices and processes to identify potential compliance gaps. This proactive approach allows the department to address issues before they escalate into challenges. Maintain accurate records of compliance activities, training sessions, and audits. This position involves monitoring HR compliance procedures, conducting HR audits, and providing guidance to management to minimize risks. As the HR Specialist, you will be a key player in implementing HR Operations programs, conducting audits, generating HR metrics to analyze data and maintaining a database of changes to understand when the change occurred and how we adopted the change to staying on track.

ESSENTIAL FUNCTIONS

  • Ensure that all of our new hires are compliant with E-Verify.
  • Generate the HR Operations reports and dashboards requirement for reporting purposes. Prepare reports monthly, quarterly, and annually to identify HR trends.
  • Responsible for monitoring compliance with HR-related laws and regulations.
  • Conduct regular HR Operations audits to identify potential compliance issues and offer solutions to address them.
  • Maintain accurate documentation of compliance efforts and audit findings.
  • Monitor HR metrics and analyze data to inform decision-making and drive continuous improvement, monthly, quarterly, semi-annually, and annually.
  • Maintain accurate filing system to maintain files and complete records related to HR compliance activities.
  • Prepare updates and offer training on HR compliance topics.
  • Stay up to date with changes in HR laws and regulations and communicate updates to relevant partners of potential impact.
  • Participate on special projects when needed.
  • Support HR audit that includes gathering documents and coordinating with stakeholders as needed.
  • Perform other functions as required by management.

The Risk team serves as the second line of defense by providing risk oversight and credible challenge whereas the Audit team serves as the third line of defense by providing risk assurance.

JOB QUALIFICATIONS

EDUCATION

  • HS Diploma required
  • Bachelor's degree or 3 years of related HR experience is preferred
  • Strong knowledge of employment laws and regulations
  • Proven experience in developing and implementing HR programs
  • Strong problem-solving skills and conflict-resolution skills

EXPERIENCE

  • 3-5 years in a human resources experience is required
  • 2-3 years of experience in a financial institution is preferred
  • 2-3 years of experience in HR compliance, with a focus on employment law and regulatory compliance
  • 2-3 years of experience using Workday Human Capital Management (HCM)

KNOWLEDGE, SKILLS & ABILITIES

  • Proficient with using MS Word, Excel, PowerPoint
  • Proficient with MS Excel using VLOOKUP and Pivot Tables
  • Proficient using Workday, including Human Capital Management (HCM) and reporting
  • Experience handling projects, priorities and results oriented
  • High level of professionalism and integrity while working with confidential information
  • Ability to work independently and take initiative, while also being a team member
  • Excellent analytical and problem-solving skills
  • Strong communication skills and interpersonal skills, to effectively collaborate with cross-functional teams
  • Ability to influence others
