The Intellectual Property Group (IPG) within CELA is looking for an experienced and highly motivated Executive Business Administrator (EA). This position will report to and support the VP, Deputy General Counsel, Intellectual Property Group and the Associate General Counsel, Open Innovation Team. We are looking for a passionate, motivated team player with a can-do attitude. The candidate must have attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple requests with little to no guidance. A high level of discretion in handling confidential information, and professionalism in dealing with leaders of all levels inside and outside the company is a must. You will also develop a deep knowledge of the IPG mission to protect and enhance the value of Microsoft's technology and business through intellectual property strategy, and act as a cross-group information resource.
ResponsibilitiesProvides strategic calendar management and time planning support for VP, Deputy General Counsel, Intellectual Property Group and Associate General Counsel, Open Innovation Team. Manage rhythm of the business processes; prepare for and coordinate internal and external engagements and communications as required; manage team aliases, to support efficient and appropriate internal communicationCollaborate and partner with admins and IPG LT members on projects and operational activitiesProactively plan and manage logistics for team meetings such as all hands and staff meetings, morale events and team offsites Manage domestic and international travel, ensuring that all point to point logistics are handled including air, hotel, passport/visa documentation, expense reports and other special logistics requests.Open purchase orders and procure goods and services as required; prepare expense reports with an understanding of compliance; keep track of expenses and invoices Assist in onboarding/offboarding of employees, including processing personnel status changes using internal Microsoft toolsIdentify areas of improvement and streamline processes Oversee space-management processes and team spaces, cascading space management vision to fellow team members
