General Information:

James Madison University's dynamic Department of Social Work is searching for a dedicated and detail-oriented Administrative Assistant to serve as an integral part of our collaborative team. Primary focus areas are administrative assistance and fiscal support for the department in support of its educational mission and goals.

Duties and Responsibilities:

The individual in this role will play a key part in ensuring successful operation of fiscal and academic systems required for quality office management in the department. They will be proactive, self-driven, and able to maintain positive and productive communication while expanding their understanding of Social Work programs and university workflows.

Key tasks include:
* Provide clerical support for programs including the accredited Social Work major and the Family Studies and Nonprofit Studies minors.
* Provide administrative assistance to the Academic Unit Head (AUH) and full-time and adjunct Social Work faculty including course and classroom scheduling.
* Serve as the initial point of contact for visitors and callers to the Department.
* Manage the administrative tasks associated with student hiring, assigning job duties, tracking timesheets, and termination.
* Assist with scheduling for regular faculty meetings (and taking minutes), special events including open houses, official student organization meetings, and graduation activities (managing room assignments and catering), and faculty candidate on-campus interviews, and ad hoc visitors.
* Provide financial support, purchasing (office supplies, equipment, and furniture), budget tracking, and related services for the department's budgets.
* Perform other duties as assigned.

Qualifications:

Required Qualifications:
* Strong interpersonal skills and professional customer service experience with diverse constituencies and populations including the university's faculty, staff, students, and the public.
* Excellent oral and written communication skills.
* Evidence of strong organizational and time management skills.
* Excellent attention to detail and accuracy.
* Ability to maintain a comprehensive filing system and ensure confidentiality of sensitive information.
* Proficiency with Microsoft Office applications including Word, Excel, Outlook, and Teams.
* Ability to ensure compliance with processing guidelines and resolving issues as they arise.
* Demonstrated ability to work independently and as part of a team.
* Adaptability and willingness to assist others.

Additional Considerations:
* Administrative experience including managing and navigating budget management tools in higher education's academic environment is beneficial, but not required.
