Hunter Hamilton is seeking an organized and detail-oriented Administrative Coordinator for a long-term temporary position based full-time on-site at our client's Phoenix office. This role plays a key part in supporting service operations, working closely with technicians, dispatch teams, and management to ensure smooth day-to-day activities. Key Responsibilities:

  • Install Maintenance: Create safety inspection tickets and maintain accurate records.
  • Dispatch Coordination: Update on-call lists, check technicians in/out, communicate down car listings, and manage shared calendars.
  • Customer & National Account Support: Provide status updates on open work orders and completed callbacks.
  • Operations Support: Track audits, assist with IT downloads for mechanics, and order tools, brochures, and mobile devices.
  • Payroll & Reporting: Process manual payroll entries, cost corrections, and generate detailed operational reports.
  • Parts & Invoicing: Create parts requisitions, receive parts, review un-received invoices, and monitor pre-invoicing reports.
  • Safety & Compliance: Assist with safety meetings, maintain documentation, and manage First Report of Incidents.
  • Administrative Tasks: Open/distribute mail, manage accounts payable coding, track vehicle changes, and support legal documentation requests.
  • Additional Duties: Assign tickets to mechanics, support National Account updates, manage badging applications, and prepare special reports for high-profile clients.


Qualifications:

  • 2+ years of administrative support experience, preferably in a service-based industry working with technicians.
  • Proficient in Microsoft Excel (intermediate level) and other MS Office applications.
  • Strong organizational and multitasking skills with the ability to manage competing priorities.
  • Excellent communication skills for effective interaction with internal teams and customers.
  • High attention to detail and the ability to work independently with minimal supervision.
  • Experience working with dispatch teams and service technicians.
  • Familiarity with operational systems such as Oracle, LeasePlan, and mobile IT tools.
