This position offers a hybrid schedule (in-office & remote/work from home) or an onsite schedule and flexible hours. Candidates will need to reside near Charleston, SC to ensure work site flexibility.

Position Description
Provides executive administrative support to executives, department members and customers. Manages daily administrative operations of the department.

Essential Functions
  • Anticipates and provides executive level administrative support to the direct manager and department team.
  • Performs high level, complex and confidential administrative support activities for the executive.
  • Manages the calendar for the executive; coordinates the team calendar. Identifies and reconciles potential scheduling conflicts.
  • Performs clerical and administrative tasks including drafting notes, letters, memos, invoices, reports, and other documents.
  • Arranges meetings, conferences, video conferences, and telephone conferences including equipment reservation, preparation and testing. Schedules and performs room set-up, catering, food and beverage as necessary.
  • Interfaces with high-level internal and external contacts (and the Board of Directors as requested) to schedule meetings, conference calls, informational exchanges; represents the company on behalf of the executive and other members of management.
  • Manages incoming calls and correspondence and responds independently, when possible.
  • Manages and coordinates document retention and destruction activities as needed.
  • Coordinates travel for as needed and prepares expense reports.
  • Coordinates directly with internal and external executives.
  • Assists in the development, preparation and distribution of relevant meeting materials including presentations and deliverables.
  • Find opportunities to maximize inter-departmental efficiencies; work with affected groups to continually evaluate and improve.
  • Conducts business related research using appropriate resources including Internet, libraries and other relevant resources.


Additional Responsibilities
  • Maintains electronic and paper files and records.
  • Assists with the orientation of visitors, guests, and new employees.
  • Performs other duties as assigned.


Qualifications
  • Bachelor's degree with a minimum of three years of general work experience in an office environment required.
  • Demonstrated ability to handle confidential and sensitive information.
  • Demonstrated, advanced skills in organization, customer service and general office duties required.
  • Strong computer skills including MS Office Suite: Word, PowerPoint, Excel, Outlook and the MS Windows environment.
  • Exceptional oral and written communication skills required.
  • Must demonstrate a positive presence to both internal and external customers at all times.
  • Ability to work effectively under pressure is required.
  • Previous experience in report preparation is preferred.
  • Previous experience supporting executives is preferred.
  • Able to produce presentation materials with specific attention to business writing, detailed editing and formatting; quality of work does not require multiple levels of review.
  • Demonstrated ability to take initiative and pursue process improvements.
  • This position will need the ability to access US only data systems - US Citizenship is required and/or must be able to obtain and maintain a DOD security clearance (for certain projects/programs).
  • This position is subject to a background check that includes a review of criminal records. Work Environment

This position is located in an air-conditioned, environmentally controlled atmosphere. Noise level in the work environment is usually moderate and the distraction level in the work environment is often heavy.
