The Grants Coordinator supports the Development Team, providing support for the agency's grants process, including grant development, research, and contributing to the support of post-award requirements. This role collaborates with development, program, and financial team members to assist in the research, writing, and submission of grant proposals, ensuring alignment with funding priorities and organizational needs. The Grants Coordinator also helps maintain accurate grant records, track deadlines, and assists with reporting requirements to support compliance with funder expectations. Additionally, this position supports funder stewardship activities, such as preparing for site visits, tracking funder communications, and providing administrative support to the grants team.

Education, Training, and Experience:



  • Two years of experience in non-profit, fundraising, administrative, or research related roles required.
  • Experience drafting written material, such as reports, proposals, and professional communication. Experience developing grant proposals and budgets is preferred.
  • Experience with data entry and maintaining organizational documents and reports.
  • Experience with data entry systems and reporting, with strong preference for experience using Blackbaud/Raiser's Edge NXT or other Constituent Relationship Management (CRM) systems and fundraising software.
  • Experience utilizing Microsoft Office Suite, particularly Excel, with the ability to utilize functions for data analysis and reporting.
  • Experience in collaborating with cross-functional teams to align development activities with organizational goals and programmatic priorities.



Other Eligible Requirements:



  • Ability to travel to the office for hybrid work model.
  • Must complete a criminal history background check and receive authorization from the State of Oregon's Background Check Unit.



Essential Duties and Responsibilities:



  • Assist in developing, writing, and submitting grant proposals in collaboration with staff across the agency, ensuring alignment with funder priorities and organizational goals.
  • Support the development of grant project budgets by working with development, finance, and programmatic staff.
  • Conduct research on prospective funders in partnership with development team colleagues, identifying potential funding opportunities that align with organizational priorities and funding needs.
  • Maintain accurate and up-to-date funder and proposal records in the Raiser's Edge/NXT system to support efficient grant tracking, reporting, and management.
  • Assist in tracking grant deadlines, submissions, and reporting requirements to support compliance with funder expectations.
  • Support coordination of funder stewardship activities, including preparing materials for funder meetings, assisting with funder inquiries, and tracking communications.
  • Assist in scheduling and preparing for funder site visits and tours, ensuring a well-organized and positive experience for funders.
  • Provide administrative support for the grants team, including document management, data entry, and assisting with grant-related correspondence.
  • Perform other duties as assigned, contributing to the overall success of the organization's mission and strategic objectives.

  • Knowledge of basic fundraising principles and donor stewardship to support grant development and funding strategies.
  • Knowledge of research methods to identify potential funding opportunities that align with organizational needs.
  • Knowledge of nonprofit operations and program structures to support grant proposal development and reporting.
  • Knowledge of CRM databases and software commonly used in non-profit organizations to streamline grant tracking and reporting processes.
  • Skilled in contributing to clear and persuasive grant proposals and reports to secure funding and maintain funder relationships.
  • Skilled in maintaining organized and accurate grant records to support audits, compliance reviews, and reporting requirements.
  • Skilled in collaborating with cross-functional teams to align grant activities with organizational goals and programmatic needs.
  • Skilled in using Microsoft Excel functions and CRM systems to manage, track, and report on grant activities efficiently.
  • Ability to communicate effectively with employees at all levels of the organization.
  • Ability to manage time effectively, prioritize tasks, and handle multiple projects and deadlines simultaneously to meet organizational and funder expectations.

Supervisory Responsibility: The Grants Coordinator does not supervise other employees.

Environmental Conditions:Works in a professional office setting. Note: This position will initially be assigned to work onsite at the administrative office, located at 3910 SE Stark Street, Portland, OR 97214. After completion of the onboarding period, the Grants Coordinator may be eligible to telework for a limited number of days per week, based on organizational needs and subject to supervisor approval. Telework arrangements may be adjusted at the organization's discretion to ensure operational effectiveness and team collaboration.

Expected Hours of Work: Monday throughFriday, 40 hours per week. Additional hours as needed.
