Summary:

Goldbelt Frontier LLC is seeking a Project Manager/Stakeholder Engagement Support to support the Defense Health Agency (DHA) Business Operations and Executive Support Services (BOESS).

Expected 5-year contract contingent upon award.


Responsibilities

Essential Job Functions:

  • Tasker Management - monitor and respond to taskers entered in the division's tasker management system by suspense date
    • Upload taskers required for internal coordination where stakeholder engagement is the process owner or facilitator such as conference attendance, All Hands support, J-6 monthly inputs
  • Manage Stakeholder Engagement Inbox - monitor, respond, and coordinate inquiries; send SDD all messages regarding updates, events, or general information
  • Liaises with program management offices and branches - supports communication efforts, internally / externally
  • Supports Quality Management and division leadership in executing change management objectives - provides subject matter expertise, incorporates into Stakeholder Engagement Strategic objectives, reviews documents, creates artifacts as needed
  • Updates and manages Stakeholder Engagement Catalog of Services - content provides quick look for internal / external stakeholders,
  • Conducts Lunch & Learns and project management offerings - develops presentation, hosts panels / events, reviews, and coordinates deliverables, conducts event
  • Update and publish New Hire Orientation publications / Welcome Book (SMART book or similar name)
    • Coordinate New Hire Orientation - collaborate with key division personnel to plan and execute orientation
  • Plan and execute Stakeholder Engagement offsites and facilitate (as needed) divisional offsites
  • Plan, coordinate, and execute quarterly All Hands including presentation content, dry runs, and logistics,
  • Create and update weekly QUAD charts for presentation during division staff meetings
    • Outlines SE accomplishments and upcoming events
  • Write tear lines - Short (one or two paragraphs) writeup that highlights client's accomplishments, new programs, systems or other noteworthy achievement or information; packaged and sent to division leadership for approval and dissemination; posted on internal website for viewing by authorized personnel
  • Leadership bios - write, update and post (on internal website) biographies of personnel in leadership positions
  • Write and package weekly leadership messages for Division Chief,
  • Internal (monthly) / external (quarterly) newsletters - write articles on notable happenings, spotlight products or people, promote specific events; includes typesetting, layout, graphics, and dissemination; process includes coordination and approval by process / product owners
  • Graphics Design (Tool) - includes newsletter and annual report layout and graphics, branding and logo design, icon design, flyers, All Hands videos and interactive features, fact sheets, brochures, QR codes, web portfolio design and layout, website design ideas and updates, trifolds, and other marketing paraphernalia
  • Photography and videography - official portraits, conference and event photos / videography, retirement and promotion photos / videography, special occasion video messages e.g., leadership holiday message, site visit photo capture
  • Conferences / Events - Stakeholder Engagement serves as the focal point for conference coordination including attendance lists, speaker proposal forms, presentation development, review and updates, dry runs, pre-event information sessions and coordination, onsite coordination and management of attendees, assistance with setup (slides, microphones, etc.)
  • Factsheets - coordinates with program managers and branch chiefs in developing, reviewing, updating, and publishing 95+ fact sheets on products and applications
  • Annual report - plans and executes annual report content, layout, design,
  • Collaborates with Business Staff - Updates, posts, and disseminates organization chart and liaison program management and branch assignments,
  • Collaborates with Front Office - reviews / updates SMART book content
  • Provides administrator training to designated personnel on GovDelivery platform, facilitates messaging to internal / external stakeholders; adds / trains additional personnel as required
  • Provides administrator training for milSuite platform, builds basic page, ensures functionality, assists with updates as necessary
  • Incorporates business rules for MTF / Market engagement - collaborates with MHS Communications on external messaging, articles on Health.mil (public facing platform), events coordination / presentation
  • Collaborates with DHA Communications on Inside DHA / DHA InfoHub postings (messages, articles, videos)
  • Coordinates with PEO MS/CIO J-6 on external events, conference attendance and support
  • J-6 monthly - enters tasker in tasker management system, compiles inputs, verifies / coordinates with internal subject matter experts, consolidates, reviews, and finalizes content, submits for leadership review, and submits to J-6 POCs; content included in directorate monthly messages to the field
  • Manages division and Stakeholder Engagement internal web and SharePoint sites - update / post content assigned under the following headings: executive communication, Graphics & Multimedia, PMO & Branch Interaction, Communication Products, Events, and Publications; uploads announcements, edits content, stores / saves content for historical lookback,
  • Day-to-day activities including but not limited to; preparation of forums/meeting attendance, capture action items, and distribute materials; and preparation of Monthly Communications Expenses Report, preparation, editing, production and management of senior leadership briefings slides, memoranda, media inquiry responses, marketing brochures, internal and external newsletters, and other communications materials and artifacts
  • Initiate, design, and execute the system change management plan that will facilitate the transition of the project to the Services, and development, editing, and management of computer graphics artifacts for products; archival and storage of historical briefings and other communications artifacts
  • Assists program management offices and branches in transitioning application / systems; develops communication artifacts to inform, streamline and publicize transitions / transfers
  • Supports major program initiatives (SharePoint updates, enterprise-wide program implementation) by generating communication plans and artifacts (presentations, brochures, screensavers, tear lines and articles)
  • Perform additional duties as needed

Qualifications

Necessary Skills and Knowledge:

  • Familiarity of the DoD and the Defense Health Agency is highly desired.
  • Must be detail-oriented, organized, and self-motivated with high attention to detail.
  • Must have strong organizational and communication skills, as well as experience in people management.
  • Ability to handle efficiently and effectively multiple and shifting priorities.

Minimum Qualifications:

  • Minimum 5 years of consulting and/or directly relevant industry experience.
  • Must have the ability to obtain and maintain Public Trust clearance.

Preferred Qualifications:

  • Bachelor's degree in a related field.
  • Familiarity of the DoD and the Defense Health Agency is highly desired.
