Pay Range

$37.25 - $44.72 Hourly

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.


Job Description

We have an opening for an Administrative Specialist IV to support the Protective Force Division within the Security Organization. The position encompasses a full range of complex administrative assignments in a rapidly changing environment with critical deadlines and conflicting priorities, requiring a high degree of flexibility, discretion, and tact in handling extremely sensitive information. This is a full-time position, and all duties will be performed onsite. This position is within the Security Organization.

You will

  • Represent management in daily matters to gather, clarify and disseminate information and coordinate information and activities.
  • Prepare, edit, format and finalize letters, memorandums and reports, presentation materials, and documents including complex graphics; gather, select, and compile information from various sources for reports and presentations; ensure documents are processed and maintained according to SO's Conduct of Security program description and applicable procedures.
  • Manage complex calendars and independently determine scheduling priorities; may determine meeting attendees.
  • Serve as primary timekeeper; assist with resolving timecard issues/discrepancies.
  • Establish and maintain filing and tracking systems, databases, spreadsheets, both electronic and hard copy, for audits, assessments and reviews.
  • Arrange domestic travel, which may include clearance arrangements.
  • Participate in implementing administrative functions within the Division.
  • Serve as a resource interpreting policies and procedures and communicating information.
  • Assist with medical scheduling.
  • Perform other duties as assigned.

Qualifications
  • Ability to maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Advanced administrative knowledge and experience including accurate keyboarding, editing, grammar, proofreading skills and managing complex calendars; advanced knowledge and experience of office procedures, techniques and methods.
  • Demonstrated advanced organizational skills and experience working under minimal supervision, in a multitask environment of rapidly changing priorities, deadlines, and frequent interruptions.
  • Ability to coordinate multiple activities and independently determine and set priorities and goals to manage and complete complex projects and tasks.
  • Excellent communication and interpersonal skills necessary to interact with a diverse workforce and represent the organization with all levels of management, internal and external to the Laboratory, using tact, diplomacy and discretion.
  • Demonstrated advanced problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
  • Experience working effectively as a team member as well as independently with the demonstrated ability to be self-motivated and flexible.
  • Demonstrated advanced computer skills and experience with the Microsoft Office Suite, Adobe Acrobat; and the ability to learn new software quickly.

Qualifications We Desire

  • Experience arranging domestic travel.

Security Clearance

This position requires a Department of Energy (DOE) Q-level clearance.If you are selected, wewill initiate a Federal background investigation to determine if youmeet eligibility requirements for access to classified information or matter. Also, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship.
