Department: Walton Personal Philanthropy Group (WPPG)
Reporting to: Senior Manager, Grant Operations, WPPG
Location: Bentonville, AR
Job Classification: Full-time; Non-Exempt

Walton Personal Philanthropy Group, a subsidiary of Walton Enterprises, seeks a proactive, detail-oriented, and execution-focused individual to join the team as a Grants Management Associate. The ideal candidate is organized and comfortable managing multi-step processes efficiently and accurately.

About the Position
The Grants Management Associate will work in a team that supports the personal philanthropy of a Walton family member, providing grants management and administration services within WPPG's operations department. This position will manage the full grant lifecycle, maintain compliance, and support process improvement initiatives to enhance grant operations.

What you will do

Responsibilities
- Grants Management
- Oversee and manage all phases of the grant lifecycle, including pipeline tracking, approval, agreement drafting, negotiation and execution, payment processing, and reporting, while communicating effectively with key internal and external stakeholders
- Ensure thorough due diligence is conducted in compliance with organizational policies and IRS guidelines
- Collaborate with external stakeholders and internal cross-functional teams to execute grant agreements with a high standard of customer service

- Compliance
- Act as a liaison between internal staff, grantees, and legal counsel to ensure compliance with IRS regulations and entity policies
- As needed, verify compliance with grants, contracts, and funding mechanisms related to fiscal sponsorship, charitable intent, advocacy activities, and risk mitigation; work closely with other teams to identify and resolve issues
- Proactively identify and leverage resources to resolve challenges in complex or non-traditional grantmaking

- Data Systems and Reporting
- Maintain accurate and complete records in the organization's grants management system and document repository
- Inform and support system design and implementation for new grantmaking initiatives or policies, such as new grantee reporting requirements
- Create meeting and summary materials for committees, boards, and other key stakeholders
- Track spending against program budgets, ensuring that all necessary approvals are obtained and documented

- Process Design and Improvement
- Ensure organizational processes and procedures are documented, updated, and accessible
- Identify, validate, design, and implement improvements for all aspects of the grantmaking lifecycle and other relevant processes, working across teams and with key stakeholders to effectively implement changes

- Program & Team Support
- Train and support team members in understanding and implementing grantmaking processes and policies; serve as a point of contact to troubleshoot and problem-solve issues related to grants, contracts, and other funding-related issues.
- Represent the team in cross-functional working groups, sharing insights and applying best practices.

- Take on special projects and additional responsibilities as needed to support organizational goals
Who we are looking for

Basic qualifications required for your success
- 5+ years of professional experience, including at least two years of administrative work experience
- Strong technical skills, including knowledge of grants management software (ex., SmartSimple Amplify for Grantmakers, Salesforce, etc.) with the ability to leverage multiple platforms for the best results.
- Excellent written and oral communication skills, with a strong focus on client service
- Attention to detail and clarity in drafting and reviewing written agreements and client instruction
- Proven skills in organization and time management
- Proven ability to exercise good judgment consistently; able to anticipate needs, solve problems independently, and take initiative to get things done
- Demonstrated capacity to work as part of a team, as well as independently

Additional Helpful Experience Includes
- Bachelor's degree
- Experience working in the philanthropic field, including foundations, family offices, or other high-net-worth environments
- Experience or exposure to working with different impact vehicles and mechanisms (grants, contracts, loans, donor-advised fund grants, impact investments)

Benefits Information*

Compensation Range: $35.00 - $45 hourly
