Position Summary

The Registration Specialist is responsible for accurately and efficiently registering new and existing patients while following established standards and productivity metrics. This role is essential for verifying patient coverage through Real-Time Eligibility and payor portal websites. The specialist also reviews registration and insurance documents to ensure correct coverage and resolve registration discrepancies in EPIC work queues. By fulfilling these responsibilities, the Registration Specialist enhances patient experiences and supports the overall operational effectiveness of the healthcare organization.

Essential Functions and Responsibilities of the Job

  • Provide professional and courteous service to all customers.
  • Communicate effectively in written and verbal form.
  • Maintain a clean, well-organized, properly stocked, and secure working area.
  • Maintain complete patient/employer confidentiality at all times per company and HIPAA requirements.
  • Perform job functions in accordance with current departmental and company standards, policies, and procedures.
  • Demonstrate teamwork by assisting coworkers with tasks/training as directed, and attending and participating in mandatory meetings.
  • Accommodates changes in workload within the department.
  • Keep leadership informed when problems may interfere with work being completed on time.
  • Use initiative to resolve problems with appropriate action and follow through.
  • Utilize payor portal websites effectively to confirm patient coverage. Ensure accuracy during registration and review Real-Time Eligibility (RTE) response history to verify that coverage details are correctly added or updated.
  • Review patient registration and insurance documents to identify the correct coverage and necessary setup. Contact insurance companies as needed to confirm eligibility if additional information or clarity is required.
  • Respond to inquiries from clinic offices or department personnel regarding registration issues in a professional and timely manner.
  • Complete manual registration on a timely basis for posting and billing charges within the timeframes established by insurance payors, ensuring that all registration information is complete and accurate.
  • Maintain assigned workload and notify department management when assistance is needed. Collaborate with team members to support each other with the workload as necessary and as time allows.
  • Maintain working knowledge of payors and plans.
  • Other duties as assigned

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities.
