The Business Services Directorate (BSD) provides high-quality business services to support the Lab's research initiatives by participating in cross-functional teams with a focus on risk mitigation and cost management, which is a critical component to the Lab's success. Led by the Chief Financial Officer, Brookhaven's Business Services Directorate includes the Budget Office, Fiscal Services Division, Procurement & Property Management Division, Chief Financial Office, and the Business Operations Offices. The Directorate manages a broad range of financial activities, including the planning and implementation of the Lab's fiscal matters and its approximately $800 million annual budget.

The Business Services Directorate (BSD) has an opening for an Assistant Business Specialist position within the Business Operations Office supporting the Director's Office. This individual will report to the Business Operations Manager for the Director's Office.

As a member of the Business Services Directorate Business Operations Office, the successful candidate is a professional that will perform a wide variety of financial functions, including departmental procurements, contract administration, departmental invoice processing, property management, Journal Vouchers, and other tasks in support of the Director's Office (DO) Directorate.

Essential Duties and Responsibilities:

  • Provide administrative support to the DO Directorate.

  • Provide procurement support, monitoring, tracking, and oversight for the DO Directorate.

  • Act as the central point of contact for all DO procurements and processes.

  • Provide general contract administration support to the DO Directorate.

  • Process invoices, Journal Vouchers, and miscellaneous payments through Accounts Payable and PeopleSoft Financials.

  • Review and submit Travel Authorizations, as requested.

  • Participate in the development of procedural improvements and problem resolution, as needed.

Required Knowledge, Skills, and Abilities:

  • BA or BS degree in a finance/business field or equivalent experience based on 2:1 (experience: college) years.

  • Understanding of standard business functions and procedures (A/P, A/R, Purchase Orders, Travel, etc.).

  • Act as Property Representative for the DO Directorate.

  • Prepare/route/submit web requisitions, change orders, and contract closeout requests for commitments, as requested.

  • Knowledge of Microsoft Office products (Office365, Outlook, Excel, Word, PowerPoint, and Teams).

  • Flexible team player with the ability to interact with staff to accomplish objectives and resolve issues.

  • Exercise a high degree of initiative and professional judgment.

  • Ability to establish positive working relationships at all levels.

  • Ability to prioritize and effectively meet deadlines.

  • Ability to identify and resolve problems within own area of responsibility.

  • Effective oral and written communication skills.

  • Must be self-motivated, resourceful, and organized, taking ownership of all assigned work.

  • Requires the ability to concentrate on accuracy.

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of BNL policies, practices, and procedures.

  • Familiarity with PeopleSoft HR & Financials.

  • Familiarity with Workday Human Resources software.

  • Detailed knowledge and use of Excel and other software programs used as management tools.

  • Creating and generating queries and reports.

  • Experience with SharePoint.

Environmental, Health & Safety Requirements:

The ability to work at a computer/keyboard for extended periods is essential.

Compensation:

Brookhaven Laboratory is committed to providing fair, equitable, and competitive compensation. The full salary range for this position is $67,250 - $97,500 / year. Salary offers will be commensurate with the final candidate's qualification, education, and experience and considered with the internal peer group.

Other Information:

This position is eligible for hybrid work (4 days on-site and 1 day remote).
