Overview
The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.
In addition to instruction in the classroom, field, and laboratory, our students have opportunities for experiential learning on and off campus, including a growing emphasis on international experiences through short- and long-term study abroad. Students also have access to a robust program of applied research and outreach hosted by the New Jersey Agricultural Experiment Station laboratories, farms, business incubators, and marine stations throughout the state.
Posting Summary
Rutgers, The State University of New Jersey is seeking a Senior Executive Assistant for the School of Environmental and Biological Sciences. Reporting to the Executive Dean, School of Environmental and Biological Sciences ( SEBS)/Executive Director, New Jersey Agricultural Experiment Station ( NJAES), the Senior Executive Assistant provides executive administrative support. This position also provides supports to the Director of External Relations and Strategic Initiatives. The Senior Executive Assistant provides independent, confidential, executive-level administrative support and manages the day-to-day office operations and procedures.

Among the key duties of the position are the following:

  • Provides executive level administrative oversight and support for the development and implementation of policies, programs, and initiatives within the Office of the Executive Dean that are central to the successful daily operation and long-term advancement of the School of Environmental and Biological Science and the New Jersey Agricultural Experiment Station (NJAES).
  • Organizes, prioritizes, and coordinates the administration of action items, projects and/or processes in the Office of the Executive Dean.
  • Serves as primary person responsible for the Executive Dean's calendar and correspondences.
  • Schedules meetings for the Executive Dean and arranges appropriate room and/or remote connections.
  • Responsible for managing the Executive Dean's review and approval workflow for any documents or processes requiring their review, including but not limited to appointment letters for new faculty; appointment/reappointment of Chairs, Deans, and Directors; faculty salary equity requests; sabbatical applications, performance management reminders to non-aligned personnel, and more.
  • Serves as the secondary point of operational and administrative contact for both internal and external constituencies, often on complex and confidential issues and works collaboratively throughout the Office of the Executive Dean and University to ensure successful outcomes.
  • Maintains collaborative relationships.
  • Performs other special projects as required.

Qualifications


Minimum Education and Experience

  • Requires a bachelor's degree or an equivalent combination of education and/or experience of increasing responsibility in leadership/managerial leadership, organizational collaborations, and understanding of executive management, high level administrative principles and practices.
  • Five years' experience in a complex administrative unit providing support for departmental or senior-level management.
