Working TitleMHC Counseling Administrative Assistant Pay$12.00 - $14.25 Hourly CampusHealth Sciences Center (HSC) - Albuquerque, NM DepartmentWomens Center (306A) Employment TypeStudent Employment Student Type StatusNon-Exempt Background Check RequiredNo For Best Consideration Date6/24/2025 Position Summary Office Assistant/MHC Support Job Description: The Mental Health Collaborative Partnered with the Accessibility Resource Center, El Centro de la Raza, and the Women's Resource Center, the Mental Health Collaborative (MHC) aims to increase students' access to mental health resources through free, trauma-responsive, culturally, and linguistically informed counseling services. MHC also supports master's-level counseling interns with professional development and supervision centered on multicultural competence and social justice advocacy. Position Summary Summary: Our office assistants are students prepared to provide basic office tasks, support the front desk and the administrative side of the life of the Women's Resource Center office located on North Campus. As the first face many visitors will see, you will provide a warm welcome to students, staff, and community members navigating the UNM campus. Duties & Responsibilities: - Opens/Closes office space. - Assists in the implementation and organization of the office space. - Opens and routes incoming mail; Distributes correspondence and other material to department staff/faculty. - Copies and/or duplicates materials as requested; May oversee daily operation and maintenance of copy machine and computer lab. - Establishes, maintains, processes, and/or update files, records and/or other documents, including weekly reports. - Performs specialized services of a routine clerical/administrative nature in accordance with established procedural guidelines, as appropriate to the position. - Updates calendar for appointments, meetings and/or conferences as appropriate to the position. - Participates in WRC events or other events as needed. - Assist the counseling coordinator with tasks, projects, coordination, organization, and other tasks as necessary - Respond to counseling inquiries through the Counseling email, phone, or in person as necessary - Assist students with providing information, resources, and guidance regarding the counseling program - Work with (receive/transfer) confidential information and documentation. -Monitoring the confidential email accounts for requests for services -Responding to emails in a timely manner -Conducting phone intakes with potential clients - Adding new clients to the "interest list" - Keeping track of all requests for services to make sure each person is placed appropriately - Assist the counseling interns with basic office and administration tasks - Providing referral information when outside services are needed - Assisting with getting paperwork distributed to our interns and getting signatures on this paperwork from our supervisors - Researching electronic medical record options for the counseling center and assisting with implementation - Work on special projects, which may include developing flyers and PowerPoint presentations. - Monitor and assist in coordination with the electronic platform TherapyNotes - In alternate cases, be the bridge of contact between the counselor and the client - Keeping a safe, confidential, and comfortable space for students inquiring about our services as well as those who receive services - In alternate cases, providing basic office tasks Minimum Qualifications Preferred Qualifications Preferred Knowledge & Skills:
