Position Summary: The Student Records Coordinator is responsible for reviewing and updating processes and procedures to support the Registrar's Office in the maintenance of student records. They are responsible for providing oversite of developing student-centered system changes and developing training resources to support Self-Service users.

This is a hybrid eligible position that would allow for 1-2 days a week working from home after the training period.



Essential Functions

1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.
2. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.
3. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success.
4. Student Records Maintenance - Supporting Action/Task May Include:

  • Create and maintain degree requirements and student-centered resources to support students through the registration processes.
  • Audit records to ensure validity and accuracy of student data.
  • Adhere to Family Educational Rights and Privacy Act (FERPA) to maintain the integrity and security of student education records.
  • Recommend changes to processes and policy in compliance with federal, state and board regulations.
5. Business Process Analysis - Supporting Action/Task May Include:
  • Research, implement, and evaluate procedural changes, processes, and automation initiatives to improve department efficiencies.
  • Identify and conduct graduation audits and verify completion of degree requirements.
  • Review and maintain course crosswalks within the Student Information System.
  • Ensure completion of time sensitive tasks and projects.
6. Training and User Tools - Supporting Action/Task May Include:
  • Document and maintain user manuals and training materials for students and staff
  • Design and lead training program for Self-Service users
  • Facilitate conversations with users and departments to determine training and documentation needs.
  • Develop and maintain electronic resources to help students navigate Self-Service and the registration process.

Qualifications

Minimum Qualifications:

  • Associate's degree in related field with 2 years related occupational experience OR
  • Education in related field combined with related occupational experience totaling 4 years (8,000 hrs.) OR
  • Related occupational experience totaling 4 years (8,000 hrs.)
Preferred Qualifications:
  • Bachelor's degree in related field

Special Instructions/About Western

This position reports to: Registrar

Starting annual/hourly salary range based on education and experience: $54,412 - $67,054

This position would include competitive salary, along with a wide variety of benefits available to full-time Western Technical College Employees.
