Position Overview
The Executive Associate for the Office for Community Impact supports a critical role in managing the daily coordination for the Vice Provost for Community Impact and providing high-level administrative support to the leadership team, including the Associate Vice Provost. This individual is responsible for overseeing the Vice Provost, Associate Vice Provost, and leadership team scheduling and calendar management, supporting fiscal processes, and assisting the office with various support needs.
The Executive Associate collaborates closely with other campus offices, and KU affiliates, to ensure smooth operations and alignment across the university and with external partners. Acting as a liaison, the Executive Associate represents the Vice Provost and the Associate Vice Provost in communications with other leaders on campus, as well as in the community.
This position requires strong problem-solving abilities, high discretion, and sound judgment in prioritizing and managing requests, scheduling, budgeting, communications, and documenting and reporting on behalf of the Vice Provost and Associate Vice Provost. The position requires working independently to handle projects that impact the organization by collaborating with internal and external entities on behalf of the office.
Job Description
Executive and Administrative Support (30%)
- Provide comprehensive administrative support for the Vice Provost for Community Impact, the Associate Vice Provost for Community Impact, and the Office of Community Impact, including managing travel, scheduling, special projects and events, and meeting preparation.
- Serve as the primary point of contact for the Vice Provost and AVP, coordinating communications and managing incoming requests. Support all scheduling meetings with campus leadership and community partners.
- Prepare and provide meeting invitations, agendas and supporting materials for meetings and committees including minutes and follow-up on action item status.
- Assist in developing and maintaining Teams and other online tools for coordination, communication, and dissemination.
Community Outreach and Event Coordination (25%)
- Provide logistical and onsite office support to VP for CI and the AVP for CI for daily office calendars, campus programs and regularly scheduled on-campus and community events related to KU's Community Impact efforts.
- Support the logistical coordination of multi-office outreach engagements that involve the Office of Community Impact. Interface with academic, administrative and affiliate units, as well as with community partners.
- Support community engagement activities, including communicating and brokering community partnerships. Organize special activities and events.
- First point of contact with community partners on and off campus. Act as liaison with partners for campus activities and programs associated with the Office of Community Impact. Maintain an organized system for coordinating all programs, grants and event support and follow up on items as requested.
- Support and participate with various committees, including ensuring efficient meeting management.
Documentation and Reporting (20%)
- Assist in compiling information and documenting, reporting, and communicating information to promote the impact of the community engagement efforts with and across initiatives.
- Generate data reports for senior leadership from the Community Check Box and other data systems.
- Develop materials, visuals, and graphics to assist with communicating and reporting the work to internal and external audiences.
Office Management (20%)
- Respond to all general CI unit email, phone, walk-in inquiries. Make referrals as appropriate.
- Answer and transfer phone calls and take messages.
- Maintain office areas, including equipment and supplies.
- Receive deliveries at reception and distribute.
- Manage the office's mail and voicemail.
- Manage office public displays and digital engagement as designated by Vice Provost/Associate Vice Provost/Program Manager.
- Work with the Shared Service Center and other university offices to coordinate supply orders, equipment purchases, and travel arrangements.
- Work closely with the Office of Community Impact leadership to support fiscal processes, including budgeting, tracking expenditures, processing financial transactions, preparing and providing reimbursements, purchases, office orders, and assisting with financial reporting through the use of KU financial systems.
Other Duties as Assigned (5%)
- Perform additional duties to support the Vice Provost, Associate Vice Provost, and the office, as necessary.
Position Requirements
This is a hybrid position based on OCI location activities but will be primarily on-site at our Lawrence, Kansas campus.
Required Qualifications
- Bachelor's degree and seven (7) years of office experience OR a high school diploma/GED and ten (10) years of office experience.
- Previous experience in scheduling and calendar management for administrators.
- Two (2) years experience with Microsoft Office Suite, especially Outlook, Word, OneNote, Teams, Excel, and PowerPoint.
- Previous work experience working independently, managing multiple tasks, and prioritizing effectively to meet goals and deadlines was required, as evidenced in application materials.
- Strong written communication skills as evidenced by application materials.
- Experience handling sensitive and confidential information, with a high degree of discretion as evidenced by application materials.
- Work experience that required engagement with administrators and community members across various ranks with professionalism and confidence.
- Demonstrated organizational skills and attention to detail from prior work experience, as evidenced by application materials.
This position requires a formal degree in the cited discipline area(s) to ensure that candidates have advanced knowledge, analytical skills and professional competencies necessary to perform the duties of the position. The level of degree is commonly recognized as the standard qualification for similar roles in the public and private sector, ensuring that the university remains competitive with industry aligned practices, enhances collaboration with external partners, and supports the delivery of services and programs that meet professional and market-driven expectations.
Preferred Qualifications
- Master's Degree in higher education, organizational management, public affairs, or another appropriate field. Candidate may be in pursuit of the MA degree at the time of application.
- Work or volunteer experience with community engagement organizations.
- Familiarity with KU administrative and business policies and procedures, including fiscal and travel management systems, as evidenced by application materials.
- Previous experience working in higher education as evidenced by application materials.
- Experience working effectively both independently and as part of a team in a dynamic environment as evidenced in application materials.
- Experience working with and a demonstrated commitment to supporting relationships with external partners and communities.
- Experience editing written communications as shown in application materials.
