SUMMARY:
Assist Osaic Investment Executives in the operation and development of the Investment Services program in conformance with established Bank and Osaic objectives, policies and procedures. This individual provides excellent client service to promote long term client relationships and communication with all areas of the bank.
ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES:
- Process paperwork and transactions, open new accounts, check paperwork for accuracy, transmit documents and checks.
- Set up and maintain client files; retain pertinent statements or other paperwork as needed. Ensure files comply with Osaic and Bank policies and procedures.
- Follow and adhere to all regulatory requirements including OFAC, BSA, etc.
- Scan checks and ensure accuracy of account credits.
- Enter and monitor mutual funds and stocks orders; process annuity purchases.
- Check Items For Attention (IFA) daily, being alert to immediate actionable items.
- Review Not In Good Order (NIGO) list on Infinetonline, AdvisorOffice, and email daily.
- Check ACAT transfer status regularly; provide follow up.
- Act as primary liaison between advisor(s) and Osaic back office. Utilize the Advisor Office communication platform.
- Act as liaison between advisor(s) and product providers, troubleshooting when necessary.
- Answer phones using appropriate phone etiquette, fulfill basic customer requests and elevate complex requests to advisors.
- Contact referrals to set appointments, based on preference of the advisor(s).
- Assist advisor(s) in managing appointment calendars.
- Conduct customer follow-up as needed, including confirmation of customer requests.
- Maintain inventory of sales literature for advisor(s). Ensure prospectuses and other literature is current.
- Open and distribute department mail.
- Maintain client database for tracking and follow-up.
- Assist with any mailing to clients and prospects.
- Promote the program and its services internally and externally.
- Provide cost basis data during Tax Season, as needed.
- Work, occasionally, with attorneys and accountants to settle trust accounts, ascertain account values, determine date of death values and re-register stock certificates.
- Monitor and process Required Minimum Distributions (RMD's) before year end for qualifying clients.
- Mail Financial Check-up Cards to all Pershing, Direct Mutual Fund, Managed Accounts and Annuity clients.
- Prepare performance reports for client reviews.
- Maintain and monitor compliance files to meet regulatory exams.
- Maintain knowledge on investment and bank products and services.
- Participate in special projects and perform additional duties as required.
- Complete ongoing continuing education for designated licenses and banking courses.
QUALIFICATIONS:
EDUCATION & CERTIFICATIONS: (Minimum education required to perform the duties of this position)
- High School Diploma required, Associate's or Bachelor's degree preferred.
- Series 7 Securities License preferred (or to be obtained after the hire date).
- Achieve additional Licenses, i.e. Series 65/66, Insurance and Annuities Licenses preferred (or obtained after hire date)
- Longer term goals to achieve the Certified Financial Planner (CFP) registration.
KNOWLEDGE, SKILLS & ABILITIES:
- Minimum three years of experience in the Financial Services Industry required.
- Course work in banking, financial services and relationship selling are also required.
- Proficiency in using Word, Excel, PowerPoint, Outlook and specific job applications.
- Proven track record of working with highly confidential client data.
- Strong interpersonal skills and high ethical standards are a must.

Normal Physical Capabilities:
Incumbents must be able to perform the following activities frequently or continuously throughout the workday as appropriate to the position: travel throughout the Bank's primary and secondary market areas (which are beyond Cape Cod), bend, carry (one and two hands), collate papers, dial a phone, file records, hear at normal speaking levels, hold items with hands, lift up to 25 lbs., move throughout building, operate office equipment (fax, copier, phone, computer, etc.), computer input for extended periods of time, read English, see well enough to scan documents with detail, sit for up to two hours at a time, stand for short periods of time, speak on the telephone and in person, write with hand, and work at the Bank's facilities.

WORKING CONDITIONS: (Typical working conditions with this type of work and environmental hazards, if any, that may be encountered in performing the duties of this position.)
Internal -- work is normally performed in climate controlled office environment, where exposure to conditions of extreme heat/cold, poor ventilation, fumes and gases is very limited. Noise level is moderate and includes sounds of normal office equipment (computers, telephones, etc). No known environmental hazards are encountered in normal performance of duties. Length of day is unpredictable; long hours may be required to accommodate deadlines or special meetings.
External -- Some travel to remote Bank locations will be required; this will include some overnight travel, not to exceed 5%. Environmental conditions are regular office and branch locations of the Bank.
