This position is site-based and requires a presence on-site five days per week.

Summary

The Meeting and Event Support position will provide support as part of our site-based Campus Services Team. Prospective employee will need to work with functional group Administrative Assistants and other employees to oversee the coordination of in-person, hybrid and occasional off-site meetings. This position will also need to provide support for function catering, food truck vendors, and large single or multi-site events that may periodically occur. We are seeking a highly organized and detailed-oriented professional that can perform effectively in a fast-paced environment, while creating a consistent and exceptional experience for our employees, visitors, and meeting attendees. Additionally, this employee will work with our Building Services Coordinators to provide oversight of our food & beverage vendors at our Bedford and Billerica, MA campuses.

Key Responsibilities / Essential Functions

Meetings and Events

* Provide support to Administrative Assistants, and other requestors, to review upcoming meetings, evaluate the meeting needs, reserve rooms, and help facilitate meeting logistics.
* Verify meeting attendees and ensure visitors are properly registered in our Visitor Watch security platform.
* Support meeting facilitator with registration process and managing any requested accessibility accommodations for meeting attendees.
* Serve as liaison with meeting facilitators to ensure schedules and meeting requirements are being supported as expected, including food & beverage orders and deliveries.
* Coordinate with the Campus Services team to ensure rooms are clean and properly configured, in advance of the scheduled event.
* Provide support for Security in managing the arrival and guidance of meeting attendees.
* Collaborate with Administrative Assistants to develop a list of preferred vendors to provide food for meetings and events.
* Partner with Management to develop and institute processes and documentation that will create an integrated, consistent, scalable process for meeting planning and execution.
* Establish concise and measurable post-meeting surveys including a process for distribution, collection, and compiling of the results.
* Acknowledge meeting attendee and facilitator concerns or complaints and work to provide effective resolution for any issues.
* Assist in the development and management of comprehensive meeting best practices for successful logistical and financial performance.
* Schedule periodic meetings with Administrative Assistant functions to evaluate processes and make recommendations for improvement.
* Multi-campus support will be required, as well as occasional evening work for after-hours events. This will include travel between our Bedford and Billerica MA campuses, and remote support for other locations.

Food & Beverage Vendors
* Provide supplementary support to the Building Service Coordinators in monitoring the performance and standards of the Lantheus contracted food & beverage vendors. This includes service levels, product quality, and operational excellence.
* Consistently evaluate vendor performance, product selection & cost, and review with the Bedford Campus Manager on a quarterly basis.
* Ensure food & beverage vendors are in compliance with company policies and general industry regulations and standards.
* Schedule and facilitate periodic meetings with vendors to review performance metrics, discuss pricing, and address service-related matters.
* Monitor and evaluate vendor performance against key metrics, which will need to be developed, tracked, and maintained.
* Monitor cleanliness of food & beverage areas, as well as products being provided.
* Ensure that contracted vendor employees are neat, clean, and respectful of our property, and are held accountable to Lantheus standards.
* Work with management to assess underperforming vendors for a measurable improvement plan or consideration for replacement.

Basic Qualifications

* 5+ years of experience in a related role.
* Candidate must have exceptional organizational skills and be able to effectively communicate, both verbally and in writing.
* Must be able to work independently while effectively managing multiple events.
* This role requires high-level administrative skills, the ability to prioritize tasks, and must be able to meet deadlines with minimal supervision.
* Must be able to work successfully in a dynamic atmosphere while performing several functions, at times in a confidential and discreet manner.
* Track record of success and the ability to evaluate and prioritize assigned responsibilities, with demonstrated skills in problem-solving & adaptability.
* Professional demeanor with a collaborative approach to working with both clients and internal teams.
* Proficient in Microsoft Office 365 applications with demonstrated ability to quickly learn and adapt to new technologies and software applications.
