Purpose

Leads and support all stages of event and program development-from initial concept through execution-while maintaining high standards and stakeholder satisfaction. This includes close collaboration with UT Career Success and the CNS Office of Experiential Learning on both event logistics and marketing. To advance our core mission of fostering wellness, belonging, and success for all students.

Responsibilities
  • Program Administration & Coordination: Responsible for planning, coordinating, and executing both standard and customized events that support student engagement and career success. Develops and implements operational standards and processes to meet program and marketing goals. Recommends and executes improvements to event policies, procedures, and delivery methods. Collaborates with departments across the College of Natural Sciences and other UT Austin colleges and schools to plan and deliver joint events. Maintains consistent communication with internal stakeholders, student organizations, alumni, and employers to ensure alignment and engagement. Oversees financial and administrative aspects of events, including budgeting, contract management, and payment processing, in coordination with Business Services.
  • Event Planning & Execution: Responsible for planning and executing events that connect students with alumni, employers, and faculty, including career panels, networking mixers, and recruiting events. Manages all event logistics such as venue selection, menu planning, floorplans, audiovisual setup, and staffing, in collaboration with the CNS Career Services Employer and Alumni Engagement Team and the CNS Office of Experiential Learning. Ensures smooth day-of operations by overseeing setup, coordinating with vendors, resolving issues, and managing the guest experience. Conducts post-event evaluations, maintains accurate records of communications, feedback, and financial documentation, and monitors engagement outcomes to inform future programming.
  • Marking and Communications: Responsible for developing and executing marketing strategies to promote events and programs to students, alumni, employers, faculty, and staff. Creates and distributes event communications across multiple channels, including email, digital signage, newsletters, and social media, tailoring messaging to varied audiences within the College of Natural Sciences and across other UT Austin colleges and schools. Collaborates with CNS Communications and other university marketing teams to ensure branding consistency and effective outreach. Maintains and updates marketing materials, promotional calendars, and mailing lists, while tracking and assessing marketing performance to refine strategies based on audience engagement and feedback.
  • Other duties as assigned, including supporting special projects and staffing events within CNS.
Required Qualifications

Bachelor's Degree and 5 years of events coordination experience.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Enthusiastic, solutions-oriented professional with a demonstrated passion for student engagement and a collaborative mindset. Proven ability to work effectively across departments and functional areas. Two to five years of experience in higher education event planning, university development, or program management. Familiarity with project management tools such as Smartsheet, as well as experience in vendor and contract management. Strong understanding of event protocols by type and demonstrated ability to manage budgets and multiple concurrent events with accuracy and efficiency.

Salary Range

$60,000 + depending on qualifications

Working Conditions
  • Environmental Demands: may work around standard office conditions

  • Physical Tasks: Repetitive use of a keyboard at a workstation

  • Lifting and moving equipment and materials as part of event setup and breakdown. This may include tables, chairs, signage, and other event-related items.
