University Libraries, ETC (Entertainment Technology Center), IDeATe (Integrated Design, Arts, and Technology), and the Sustainability Initiative (UEIS) make up the portfolio of units reporting to Helen and Henry Posner, Jr. Dean of the University Libraries and Director of Emerging and Integrative Media Initiatives, Keith Webster. With complementary missions to advance knowledge and foster innovation in the pursuit of a more equitable future for all, there are more similarities than differences between this eclectic grouping.

We are currently searching for an Assistant Director of Constituent Engagement to join UEIS at Carnegie Mellon University. Reporting to the Chief Advancement Officer, this position will be an integral member of a dynamic and evolving team. You will partner with a collaborative advancement team to lead strategic constituent engagement across UEIS units. You will design and execute engagement programming, events, and communications that deepen alumni, donor, faculty, student, and broader community connections, while crafting innovative methods to broaden reach and impact.

Core responsibilities include:

Strategic Engagement & Program Management

  • Developing and implementing constituent engagement strategies and annual communication plans aligned with UEIS mission and advancement goals.

  • Collaborating with faculty, staff, and volunteer leaders to plan, manage, and execute highimpact events-on and off campus, in-person and virtual-including logistics, sponsorships (if applicable), vendor coordination, guest list management, marketing, and budget management.

  • Participating in the strategic and long-range planning for new initiatives and programs designed to enhance constituent relations.

Event Execution & Coordination

  • Leading end-to-end programming for signature engagement events-communications, guest management, menu planning, timeline development, calendar coordination, and post-event follow-up.

  • Coordinating events thoughtfully within the university calendar, liaising with the President's Office, campus partners, and crosscampus Advancement teams.

Data, Assessment & Reporting

  • Capturing and analyzing engagement metrics (surveys, ROI, attendance, qualitative feedback), enter data into the database of record, and prepare progress and impact reports to CAO, Dean, and stakeholders.

  • Streamlining internal event submissions and review processes across UEIS and University Advancement.

Communications & Volunteer Relations

  • Leading strategic messaging for engagement opportunities including invitations, follow-up correspondence, and marketing materials in collaboration with UEIS Advancement and External Relations teams.

  • Identifying, recruiting, and supporting volunteers-especially alumni-for programming, advisory councils, panels, and committees.

  • Planning and coordinating the nomination and selection process of various alumni/constituent recognition programs/awards.

Administrative & Collaborative Initiatives

  • Representing Advancement across UEIS and University groups; participate in strategic planning, committees, and cross-divisional projects.

  • Generating annual plans, event plans with marketing components, run-of-shows, and leadership briefings and distribute to appropriate stakeholders

  • Performing other duties as assigned to further UEIS and University Advancement goals.

  • Excellent written, verbal, and interpersonal communication skills.

  • Strong attention to detail, organizational acumen, and ability to manage competing deadlines.

  • Willingness to travel domestically and work occasional evenings or weekends.

Required qualifications:

  • Bachelor's degree required.

  • 3-5 years of development, alumni relations, engagement, or event management experience in higher education or related fields; equivalent education/experience considered.

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Preferred qualifications:

  • Familiarity with alumni/constituent relations/event trends in higher education.

  • Experience with datadriven event assessment and constituent platforms such as T360 or other CRM systems.

Requirements:

  • Successful background check.

  • Flexibility in scheduling and travel, as required.
