Title: Administrative Project Control Specialist Location: San Diego ,CA Clearance: Active Secret or Higher Education: Bachelor's Degree Customer: Naval Information Warfare Systems Command Requirements
Summary: Responsibilities: * Procurement and Logistics: Coordinate and streamline procurement processes, from initial purchase to final delivery, ensuring timely and accurate fulfillment of government contracts. This includes facilitating the creation of purchase requests, obtaining quotes, and processing purchasing needs. Verify purchasing card transactions for accuracy and handle reconciliation and approval processes. * Reporting and Administration: Compile and deliver weekly and monthly reports to the Contracting Officer Representative (COR), including all deliverables such as CDRLs and Financial Status. Assist the project manager by coordinating team visit schedules. Manage travel authorization requests, including travel logistics, Letters of Authorization (LOAs), and compliance with security requirements. * Team Support and Training: Serve as the Training Coordinator, ensuring all team members are up-to-date with required certifications and training. Assist subcontractors in obtaining Visit Authorization Requests (VARs) and badges for secure area access. Plan and organize Safety Meetings for the entire business unit, tracking attendance and ensuring compliance with safety protocols General Support: Troubleshoot tickets and ensure smooth communication between internal and external stakeholders. Collaborate with leadership to identify training needs and foster a positive, collaborative work environment. Qualifications: * Current Active Secret Clearance * Experience as an Administrative Assistant in a government contracting environment. * Proven ability to coordinate and streamline procurement processes. * Proficiency in compiling and delivering reports. * Experience in managing schedules and coordinating logistics for team visits and travel. * Ability to handle verification and reconciliation of purchasing card transactions. * Strong organizational skills and attention to detail. * Experience with training and mentoring staff. * A solution-driven approach to problem-solving. * Skills in MS Office & Microsoft Project. * Experience with process improvement and data reporting and analysis. |
