Penmen Guide Leader
Job Responsibilities (include but are not limited to): Tour Guide Scheduling & Coverage
Develop, manage, and maintain the year-round tour guide schedule. Ensure full coverage for all campus tours and office shifts, including during school breaks and holidays. Collaborate with guides to arrange shift coverage when scheduling conflicts arise.
Recruitment & Onboarding
Assist in the hiring process for new tour guides, including posting positions, reviewing applications, and coordinating interviews. Implement creative recruiting strategies to attract high-quality candidates. Support the onboarding process to ensure new guides feel prepared and welcomed.
Team Communication & Engagement
Coordinate and send reminders for bi-weekly tour guide meetings. Maintain consistent communication with guides regarding updates, policies, and events. Develop strategies to keep the team motivated, engaged, and energized.
Leadership & Collaboration
Meet weekly with the Penmen Guide Supervisor and leadership team to review progress and address needs. Serve as a role model by maintaining a positive, professional attitude. Partner with other leadership positions to train new guides, assist the training coordinator, and support event planning and execution.
Team Development & Support
Penmen Guide Training Coordinators
Job Responsibilities (include but are not limited to): Training & Development
Partner with the supervisor to research, design, and implement engaging tour guide training programs. Maintain and regularly update the Tour Guide Manual to ensure it reflects current practices, policies, and campus updates. Lead training sessions that improve office operations, campus tour delivery, and overall guide effectiveness. Provide specialized training for shuttle bus and golf cart procedures.
Performance Evaluation & Coaching
Conduct periodic evaluation tours to assess guide performance and ensure quality guest experiences. Offer constructive feedback and work with guides to strengthen communication and presentation skills. Collaborate with guides to identify areas for growth and provide resources for improvement.
Collaboration & Communication
Maintain open and ongoing communication with the Training Coordinator partner to align strategies and goals. Support the Penmen Guide Leader in keeping guides refreshed, motivated, and energized. Brainstorm and introduce innovative training techniques to enhance learning for incoming guides. Foster an open, approachable environment where guides feel comfortable seeking guidance and sharing ideas.
Leadership Support
Assist the leadership team and office staff with projects, events, and operational needs as requested. Serve as a positive role model for all guides, promoting professionalism, teamwork, and enthusiasm.
Penmen Guide Events Coordinator
Job Responsibilities (include but are not limited to): Event Planning & Coordination
Collaborate with Amelia Duane to plan and execute semester events such as Esports Showcases, Honors Showcases, Accepted Students Days, Luncheons, Open Houses, Weekend Tours, and more. Lead weekly events meetings to review upcoming schedules, assignments, and preparation needs. Coordinate event-prep coverage, including tasks like assembling packets, filling bags, decorating spaces, taping signs, and inflating balloons.
Staffing & Coverage
Ensure adequate guide coverage for all events by coordinating schedules during bi-weekly Tour Guide meetings. Manage last-minute staffing needs for Group and VIP Tours, securing on-the-spot coverage as needed.
Communication & Engagement
Maintain ongoing communication with the team regarding event details and assignments. Send timely reminders to guides scheduled for upcoming events. Serve as a go-to resource for event-related questions and guidance. Promote enthusiasm and a positive attitude toward all events, fostering team excitement.
