JOB SUMMARY

The Paralegal supports the company's legal departmentby managing the organization's contract processes and procedures, compliance with federal, state, and local laws and regulations, and risk mitigation efforts across multiple business units and projects.This role combines traditional paralegal duties with construction industry expertise to protect company interests and ensure compliance in a fast-paced construction environment.

JOB RESPONSIBILITIES

*Contract Review and Management - Review, analyze, and summarize subcontractor agreements; track contract milestones, deadlines, and deliverables; maintain contract databases and ensure proper execution and filing of contract documents; assist in contract negotiations by preparing redlines, amendments, and supporting documentation

*Construction Lien and Bond Claim Support - prepare and file mechanics' liens, preliminary notices, and lien waivers; monitor lien deadlines; assist with bond claims preparations

*Regulatory Compliance Assistance - track contractor licensing renewals and ensure compliance with state and local licensing; support prevailing wage compliance,e including certified payroll review and Davis-Bacon Act requirements; assist with environmental compliance documentation and permit tracking

*Insurance and Risk Management Support - review and track insurance certificates from subcontractors and vendors; coordinate updates of litigated matters with Risk and Human Resource teams

*Dispute Resolution and Litigation Support - conduct document discovery and organize case files; prepare litigation holds; draft necessary correspondence under attorney supervision; manage calendars and case-related deadlines

*Document Management and Record Keeping - maintain comprehensive project files including prime contracts, subcontracts, and insurance manuals; manage electronic document systems and ensure proper version control for contract documents; prepare and maintain corporate records as necessary; allocate proper contracts for review by legal counsel

*Client Communication Coordination - coordinate with project teams on contract compliance issues and potential disputes; facilitate communication between field operations and legal team on emerging issues; coordinate with various business units in responding to RFPs

*Financial and Accounting Support - review and process invoices for legal matters; coordinate with the accounting team on contract-related financial reporting and compliance; provide reports for upcoming projects and projected workflow

BASIC QUALIFICATIONS

Education & Experience:

*Associate's degree or higher in Paralegal studies, Legal Studies, or related field from an ABA-approved program

*Minimum 3- 5 years of paralegal experience in commercial litigation, construction law, or corporate legal environment, ideally with exposure to construction or engineering industries

Technical Skills:

*Proficiency in Microsoft Office Suite; Westlaw; document management systems and e-discovery platforms

Core Competency

*Excellent written and verbal communication skills with the ability to interact professionally with all organizational levels

*Strong attention to detail and accuracy in document preparation and review

*Ability to work independently with minimal supervision while maintaining high-quality standards

*Strong organizational and time management skills

*Understanding of legal terminology, procedures, and court filing requirements

*Understanding of mechanics' lien laws and procedures across multiple jurisdictions

PREFERRED REQUIREMENTS

*Preferred experience in SmartSheets, Salesforce, or Tableau

*Experience with regulatory compliance in multiple states or jurisdictions

*Paralegal Certification from NALA or NFPA

*Continuing legal education in construction law, OSHA, contract law, lien law

*Knowledge of construction industry contracts, including AIA forms, Consensus Docs, and custom subcontractor agreements

*Familiarity with construction-related matters, including general liability, professional liability, and workers' compensation

WORKING CONDITIONS AND PHYSICAL EFFORTS

*Work is normally performed in a typical interior/office environment

*Limited exposure to physical risk; jobsite tours on a quarterly basis

*No or very limited physical effort required.
