Scope of Work:
The primary purpose of this position is to acquire a wide range of standard equipment, supplies, and services.
Responsibilities:
- Reviews purchase requests in terms of compliance with administrative requirements and adequacy of information.
- Determines any additional information necessary to support purchase request and coordinates with requesting office to obtain or provide additional information.
- Determines procurement source and method based on such factors as procurement history, urgency need, estimated cost, and applicable directives.
- Solicits and evaluates oral and/or written quotations in terms of item, price (based on previous history), discounts, delivery, and transportation fees.
- Prepares request for quotation (RFQ) and incorporates the technical description of product/service requirements.
- Coordinates with requester and supervisor when prices substantially exceed those anticipated.
- Negotiates with vendors on a variety of issues such as price breaks, accepted delivery, reduction of service charges, and similar agreements when precedents are well established.
- Prepares award documentation (blanket purchase requests, purchase order, etc.) and perform post-award follow-up.
- Coordinates and submits award documentation for necessary reviews, approvals, and signatures.
- Notifies requester of status of order(s).
- Reviews completed contract file to determine that all contractual actions are satisfied in a timely manner.
- Maintains and develops a source list of responsible suppliers.
- Prepares and processes correspondence and substantiating documents pertaining to procurement actions.
- Develops and maintains good working relationships with vendors.
- Determines work sequence based on priority of PRs.
- Reports to as scheduled (0730-1630).
- Adhere to company policies, procedures, and safety regulations.
- Performs other duties as assigned.
Requirements:
- Must have a minimum of two (2) years' experience in procurement obtaining knowledge of standardized purchasing regulations and procedures, market sources, and price evaluation techniques.
- Must possess the ability to work in a team or alone and be able to change jobs on short notice. Knowledge of office automation software (MS Windows, MS Office, including PowerPoint, Word, Access, and Excel) required.
- HS Diploma or equivalent required.
- Must be able to successfully complete a National Agency Check with Inquiries (Tier 1) background check.
- Must have and maintain a valid CO state driver's license.
- Must be able to successfully complete a drug/alcohol test and a criminal record check.
- Must possess and maintain a valid state driver's license and a safe driving record, in accordance with company policy, to operate vehicles or equipment as required for the position.
Physical Demands / Work Environment:
- May require sitting, bending, stooping and stretching, and reaching above head level. Ability to occasionally lift and move up to 25 lbs. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
- Must be able to work on-call, alternate, and extended shift schedules when necessary to meet the mission requirements, including weekends and holidays.
- Work may be performed indoors or outdoors in varying weather conditions. Must be able to work in confined spaces, at heights, and around various hazards with appropriate PPE.
