The Administrative Assistant Experienced plays a key role in providing comprehensive clerical, communication, and administrative support to a dialysis facility. This position reports to the Facility Administrator and contributes to the overall efficiency and effectiveness of clinic operations. This individual has obtained their CMS- approved Patient Care Technician (PCT) certification and at times operates as a PCT. Note: All duties are performed in accordance with DaVita policies & procedures, OSHA, JCAHO, AAMI, CMS, state, federal, and local regulations.

ESSENTIAL DUTIES & RESPONSIBILITIES

* Performs a wide range of clerical duties, including filing, typing, data entry, and assisting other teammates as directed by the Facility Administrator, with additional responsibilities and autonomy in daily tasks.

* Answers phones, screens calls, takes and delivers messages, and places calls as necessary, providing excellent customer service to patients, caregivers, and internal staff.

* Assists in arranging patient transportation and physician appointments to ensure timely and efficient care.

* Maintains accurate records of stock items, such as dialysis supplies, office supplies, and other inventory, while actively monitoring levels to ensure timely reordering (may work in conjunction with inventory technician).

* Keeps the physical facility organized and operating properly by coordinating maintenance requests and addressing any facility-related issues.

* Operates and prepares reports using multiple computer programs/interfaces, demonstrating intermediate to advanced proficiency in software applications.

* Contributes to the clinic culture by fostering a positive and collaborative work environment and supporting teammates in achieving their goals.

* Works independently or with little supervision, effectively dealing with ambiguous situations and demonstrating resourcefulness in problem-solving.

* Identifies opportunities for process improvement and actively participates in implementing relevant solutions to enhance clinic operations and patient care.

* Builds and maintains productive relationships with patients, taking ownership of their satisfaction and loyalty by providing exceptional service and support.

* Develops expertise in clinic-specific workflows and systems, becoming a go-to resource for teammates seeking guidance or clarification.

* Assumes ownership of actions, adapts to changes, and engages others in a professional and positive manner.

* Assesses situations from multiple perspectives and demonstrates critical thinking skills in decision making and problem-solving.

* May be asked to support patient care team as a certified PCT.

* Completes monthly tasks in a timely manner, including but not limited to: - Teammate & patient monthly education - Emergency evacuations prep - OSHA documentation - Machine & treatment logs - Order new patient bags - Faxing of labs and other documentation - Verifies patient insurance & obtain authorizations - Prepares patient charts - Inventory monitoring - Team celebrations

MINIMUM QUALIFICATIONS:

High school diploma or equivalent. Medical secretary experience, preferred.

* Obtained CMS approved PCT certification.

* Demonstrated ability in clerical skills, including filing, typing, and use of office machines.

* Proficient in intermediate to advanced computer skills, including Microsoft Office products (Word, Excel, PowerPoint) and Outlook.

* Strong attention to detail, organizational skills, and ability to handle multiple responsibilities simultaneously.

* Excellent communication and interpersonal skills, with a customer service-oriented approach.

* Proven ability to work autonomously and effectively prioritize tasks in a dynamic environment.

* Knowledge of purchasing and inventory control methodologies preferred.

* Demonstrated ability to maintain confidentiality and handle sensitive information
