Are you a highly organized, proactive professional who thrives in a fast-paced environment? We're seeking an Executive Assistant to the CEO who will serve as a trusted partner and organizational backbone for our client's leadership team. This is not just an administrative role-it's an opportunity to work side-by-side with the CEO, helping shape priorities, streamline operations, and ensure initiatives stay on track.

Schedule: 8:30am - 5:00pm, Monday - Friday

Pay Rate: $25 - $30/hr. (Depending on experience)

Key Responsibilities:



  • Manage the CEO's Outlook calendar, schedule meetings, and coordinate travel arrangements.
  • Shadow the CEO in meetings and daily activities, capturing notes, decisions, and action items with precision.
  • Act as a gatekeeper and "air traffic controller", filtering requests, tracking priorities, and ensuring follow-ups are completed.
  • Prepare, edit, and format professional documents, reports, and presentations in Microsoft Office.
  • Organize offsite meetings, company events, and logistics.
  • Partner with leadership team members to align deadlines, tasks, and deliverables.
  • Handle sensitive information with the utmost discretion and professionalism.
  • Encourage and support the use of productivity tools, including AI platforms like ChatGPT Teams, to drive efficiency.
  • Provide general administrative support, including expense reporting, filing, and record-keeping.




What We're Looking For:



  • Associate or bachelor's degree preferred; equivalent experience considered.
  • Proven success as an Executive Assistant or Administrative Assistant supporting senior leadership.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Strong organizational and project management skills with the ability to juggle multiple priorities.
  • Excellent verbal and written communication skills.
  • High emotional intelligence, professional presence, and the confidence to manage up when necessary.
  • Detail-oriented, proactive, and resourceful with a strong sense of urgency.
  • Ability to maintain confidentiality and build trust across all levels of the organization.




Preferred:



  • Experience in a manufacturing or industrial setting.
  • Knowledge of OSHA safety regulations.
