Summary:
The Leave Management Administrator is responsible for the day-to-day administration, compliance, and employee support of all U.S. leave programs across multiple states. This position ensures accurate processing of leaves, maintains compliance with state and federal laws, and coordinates with vendors, employees, and internal stakeholders to provide a consistent and supportive leave experience.
Job Duties & Responsibilities:
Administer and process employee leave of absence requests in accordance with federal, state, and local regulations (FMLA, ADA, STD, LTD, Paid Leave, etc.). Work directly with outsourced leave vendor to ensure accurate documentation, communication, and timely resolution of cases. Support the implementation and configuration of leave management systems, including system configuration, testing, and training. Maintain accurate records of employee leaves, timecard coding, and status updates. Serve as a point of contact for employees, managers, HRBPs, and payroll for leave-related questions. Coordinate ADA interactive process, return-to-work accommodations, and documentation requirements. Assist with leave-related audits, reporting, and compliance checks. Support Workers' Compensation leave administration in partnership with WC staff and insurance carrier. Provide routine employee, manager, and HR staff communications and training sessions on leave policies and procedures. Maintain confidentiality and compliance with HIPAA and all regulatory guidelines. Perform other duties as assigned.

Education & Training
Bachelor's degree in Human Resources, Business, or related field preferred; equivalent experience will be considered. 5+ years of leave administration or HR operations experience required. Experience with multi-state leave administration strongly preferred. Knowledge of FMLA, ADA, STD, LTD, state paid leave laws, and workers' compensation. Experience working with outsourced vendors or third-party administrators preferred. Experience implementing or supporting the rollout of leave management systems. Experience with HRIS and timekeeping systems such as UKG/Kronos or Workday a plus.

Familiarity with healthcare or behavioral health operations a plus.

Excellent communication skills with the ability to articulate topics clearly to staff, managers, and HR colleagues. Self-starter and effective at prioritizing multiple projects with deadlines. Capable of working independently with minimal supervision. Requires prolonged periods of sitting at a desk and working on a computer. Occasional standing, walking, and light lifting (up to 15 lbs). Must be able to participate in virtual or in-person meetings. Proficient in using standard office equipment such as computers, phones, printers, and video conferencing tools. Able to work under pressure with professionalism, empathy, and diplomacy.
