Position Summary:

We have an exciting opportunity to join our team as a Senior Program Coordinator - Continuing Medical Education.

The Senior Program Coordinator provides strategic leadership and operational oversight for a broad range of initiatives within the Division of Pulmonary, Critical Care & Sleep Medicine. This role is pivotal in managing marketing and communications efforts, optimizing program operations, and supporting Continuing Medical Education (CME) activities.

The ideal candidate is a proactive, detail-oriented professional with strong organizational and analytical skills, capable of working independently and leading cross-functional teams in a fast-paced environment. Proficiency in MS Office and a strong grasp of data systems and workflow optimization are essential.

Job Responsibilities:

Finance Finance

  • Oversee Continuing Medical Education (CME) program budgets, working with Course Directors and Divisional leadership to set budgets and manage expenses on a monthly basis.
  • Work closely with CME office to create and manage budgets to accurately project profit / loss in advance of any planned conferences to support financially healthy programs.

Operations

  • Identify processes and workflows that can be automated and / or improved to reduce reliance on manual data entry.
  • Oversee the development and / or re-engineering of electronic data systems to support the management of event production processes.
    • Analyze and understand Divisional needs, identify strategies, and implement effective software solutions.
    • Establish a robust database for longitudinal tracking of programmatic support and enduring partnerships.
    • Serve as Divisional liaison to CME office and impart expertise on data management and operations, guiding the configuration of an abstract submission portal that meets the needs of the institution.
  • Generate and analyze data related to utilization and performance for Divisional CME programs.
  • Use data to effectively guide strategic decisions related to program operations in collaboration with senior leadership.
  • Assist in development of Divisions long-term strategy, ensuring projects meet strategic goal milestones.

Stakeholder Management

  • Communicate with and provide guidance and data reports to Division Administrative Leadership
  • Serve as a liaison between various internal and external stakeholders.
  • Maintain expertise on systems and any related institutional policies used to support the office.
  • Represent the Division at CME conferences and build relationships with key industry and association representatives.

Marketing

  • Develop content for the Divisions quarterly newsletter and ensure all marketing materials are current and aligned with institutional branding.
  • Design and execute digital marketing campaigns (web, social media, email) to promote CME programs. Provide art direction for print and digital collateral, ensuring consistency and clarity in design in collaboration with NYU Langones marketing team.

Minimum Qualifications:

To qualify you must have a Bachelor's degree in business and healthcare administration, communications, marketing or related field. Minimum of four years of progressively responsible related experience including program/project/event coordination or equivalent combination of education and experience. Proficiency in using various Microsoft Office applications such as World, Excel, Access, Power Point and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to multi task and project manage.

Preferred Qualifications:

Bachelors degree in business and healthcare administration, communications, marketing or related field (equivalent experience will be considered).
Minimum 3 years of experience in event/program/project coordination support in a relevant setting.
Excellent organizational, communication, and interpersonal skills.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $71,144.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
