The executive assistant provides high-level administrative support to the Human Resources and Marketing executive team. The EA will conduct research, prepare statistical reports, handle information requests and perform clerical functions such as preparing correspondence, arranging conference calls and scheduling meetings and travel for the leadership team.

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Supports the executive team by preparing and coordinating communication andmanaging complex calendars.

  • Prepare documents such as reports, letters, presentations, etc., including researching and conducting data inquiries.

  • Compile updates from each team and distribute and help track milestones

  • Help coordinate schedules for cross-team collaboration, as necessary

  • Capture and publish release notes for software.

  • Act as a liaison between executives and team.

  • Answer phone calls and direct calls to appropriate parties or take messages.

  • Record, type and distribute meeting minutes.

  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.

  • File and retrieve corporate documents, records and reports.

  • Open, sort and distribute incoming correspondence, including faxes and email

  • Expense reporting for credit cards

  • Other duties as assigned.

Qualifications:

  • Bachelor's Degree or Associate's Degree with a minimum of three to five (5) years as an administrative assistant or project support experience in a professional environment supporting cross-functional project/product teams

  • Advanced skills in Microsoft Office Products: Excel, Word, Outlook, and PowerPoint.
