Overview

The Office Assistant supports daily administrative and front-office functions for the manufacturing site. This role ensures smooth office operations through effective coordination of mail, reception, supply management, and facility support. The Office Assistant is often the first point of contact for employees, visitors, and vendors, and is responsible for maintaining a clean, organized, and welcoming environment.



Responsibilities

Front Desk & Reception

    Serve as the primary point of contact for visitors, employees, and vendors.
  • Manage reception duties including greeting guests, answering and directing phone calls, and maintaining visitor logs.
  • Issue and track visitor and temporary employee badges; ensure compliance with site security procedures.
  • Coordinate entry processes with Facilities, Compliance and HR as needed.

Mail & Document Handling

  • Process all incoming and outgoing mail, packages, and shipments.
  • Coordinate with delivery services, couriers, and internal departments to ensure timely distribution.
  • Maintain organized records of shipments if required.

Office & Supply Management

  • Order, stock, and maintain office supplies, including paper, stationery, PPE, and general facility consumables.
  • Order, stock, and maintain kitchen and breakroom supplies (coffee, snacks, utensils, etc.).
  • Keep breakroom and shared spaces organized, stocked, and clean, including wiping surfaces, monitoring inventory, and coordinating cleaning services as needed.
  • Manage supply vendors and track related spending per budget.

Administrative & Facility Support

  • Assist with facility projects including office moves, space planning, and coordination with maintenance.
  • Support scheduling of conference rooms and assist with meeting setup (A/V, materials, refreshments).
  • Assist with coordinating on-site events, employee activities, and meetings.
  • Support Health & Safety by maintaining posted materials, distributing PPE, or tracking training sheets as needed.
  • Provide support for common technical issues (printer/copier troubleshooting, etc.)
  • Assist with setting up workstations, monitors, etc. for new hires.
  • Serve as a liaison with Corporate IT by submitting tickets and providing on-site coordination for IT-related work.
  • Help maintain inventory of IT equipment such as keyboards, mice, cables, headsets, and basic hardware.
  • Partner with Facilities, Operations, EHS, IT, and HR, to support various administrative needs.
  • Help monitor facility needs and report issues such as equipment malfunctions or supply shortages.
  • Comply with federal, state, and company policies, procedures and regulations


Qualifications

Required Skills & Abilities:

  • Previous experience in an office, administrative, or front-desk support role; manufacturing environment experience preferred.
  • Strong organizational skills with excellent attention to detail.
  • Ability to multitask in a fast-paced environment and manage competing priorities.
  • Professional communication and customer-service orientation.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and general office technologies.
  • Ability to utilize general office equipment with limited instructions including photocopier, fax machine, etc.
  • U.S. Citizenship or permanent residence required

Education/Experience:

High school diploma or equivalent. 2+ years of office experience, preferably in a manufacturing setting.

Physical Requirements:

Ability to lift up to 25 pounds (mail, supplies, etc.); occasional bending and lifting.

Compensation Range Transparency:

At Edmund Optics, we are committed to transparency and equity in our hiring practices. The posted salary range for this role reflects the expected base pay. The actual offer will be based on multiple factors, including but not limited to relevant skills, education, work experience, business needs, and geographic location.

Salary Range:
$20.00 - $24.00 per hour
