Scope of Work

Volunteer - Contract Procurement Repository (CPR)

Project Overview

The goal of the project is to ensure that all Marketing & Growth's current vendors have fully executed contracts collected, uploaded, and accounted for in the agency's Contract Procurement Repository (CPR) system. The Volunteer will work closely with the Managing Director and follow an established project plan.

Supervision

The Volunteer will report to the Managing Director, who will provide guidance, training, and regular check-ins.

Responsibilities

With supervision, the Volunteer will:



  • Contact internal staff to request copies of all fully executed vendor contracts
  • Track outreach and follow up as directed (maintain simple tracking spreadsheets)
  • Upload contracts into the Contract Repository and enter basic contract information accurately and follow naming conventions
  • Assist in reconciling current vendors against contracts in the system
  • Flag missing, outdated, or duplicate contracts for review


Deliverables



  • Uploaded and organized vendor contracts in agency CPR system
  • A tracking log showing contract request and upload status
  • A summary of vendors with confirmed, missing, or outstanding contracts

  • Practice problem-solving by identifying gaps or inconsistencies


Time Commitment



  • Estimated hours per week: 15 hours
  • Duration: 4 weeks
  • Schedule coordinated with school commitments
