Position Overview:

The Store Support Specialist is responsible for providing day-to-day operational and administrative support to Liquor Stores USA North, Inc. (LSUN) store teams. This role serves as an internal customer service function, ensuring stores are well-maintained, properly supplied, and equipped with the tools needed to operate efficiently.

The Store Support Specialist acts as the primary point of contact for store maintenance issues, supply needs, and select administrative requests. Success in this role requires strong organization, follow-through, and a service-oriented mindset, with a focus on timely resolution and clear communication.

Key Responsibilities:

Store Maintenance and Facilities Support

  • Receive, log, and track maintenance requests from stores through the established ticketing or tracking system
  • Coordinate and dispatch contractors and service providers to address maintenance issues
  • Monitor open maintenance items and follow up to ensure issues are resolved in a timely and cost-effective manner
  • Communicate status updates to store teams and escalate unresolved or high-priority issues as needed
  • Maintain accurate records related to maintenance activity, vendors, and service outcomes

Supplies and Procurement Support

  • Ensure stores have consistent access to janitorial, safety, and office supplies required for daily operations
  • Coordinate procurement of approved supplies, balancing availability, cost control, and operational needs
  • Monitor inventory levels of commonly used items and reorder as needed
  • Work with vendors and internal stakeholders to resolve supply issues or delays

Equipment and Vendor Management

  • Manage store printer and refrigeration equipment contracts, ensuring stores have functioning and supported equipment
  • Coordinate repairs, replacements, and service requests with vendors as issues arise
  • Support management of service vendors related to facilities, HVAC, refrigeration, other store equipment, and supplies
  • Track equipment status and vendor performance to support continuity of store operations

Communications and Internal Resources

  • Post and maintain store-facing communications on the internal website, The Cache
  • Ensure posted content is clear, accurate, timely, and aligned with leadership direction
  • Assist in organizing and updating operational resources, guides, or reference materials for store teams

Maintenance, Vendor, Cost Tracking, and Reporting

  • Maintain clear, up-to-date tracking and status reports on all maintenance tickets, including timelines, resolution, and outstanding issues
  • Provide weekly maintenance ticket status reports to leadership, highlighting open items, priorities, aging issues, and escalations
  • Track and report costs associated with maintenance and repairs, including HVAC and refrigeration work, to support budgeting and cost control
  • Maintain records of vendor contracts related to maintenance, HVAC, refrigeration, printers, and other store equipment
  • Monitor vendor invoices for accuracy
  • Provide monthly cost reports covering maintenance and repairs, vendor contract expenses, and procurement costs for janitorial, safety, and office suppliers
  • Identify recurring issues, cost overruns, and opportunities for cost savings

Administrative and Leadership Support

  • Provide administrative support to Senior Management as needed, including coordination, documentation, and follow-up
  • Assist with scheduling, information gathering, and cross-department coordination as requested
  • Support operational initiatives by tracking tasks, deadlines, and deliverables

Experience and Qualifications:

  • Prior experience in an administrative, operations support, facilities, or retail support role preferred
  • Demonstrated ability to manage multiple requests and priorities simultaneously
  • Comfortable working with vendors, contractors, and internal stakeholders
  • Proficient with standard office software, including Microsoft Outlook, Word, and Excel
  • Ability to learn and use internal systems and tracking tools
  • High School Diploma or equivalent required
  • Valid driver's license and reliable transportation preferred
