Overview

AVIAN is seeking an Administrative Assistant (Senior) to provide administrative support in VX-20 to executive staff with office management responsibilities to include clerical and personnel records. The Administrative Assistant (Junior( may be required to assist on projects requiring research and preparation of briefing charts and other presentation materials in addition to secretarial duties (filing, taking phone calls, scheduling appointments).

Responsibilities

This role supports daily operations by managing clerical tasks, maintaining personnel records, coordinating schedules, and assisting with documentation and presentations that support mission execution.

The ideal candidate is highly organized, dependable, and comfortable working in a fast-paced environment supporting high-visibility programs.

Responsibilities
    Perform routine clerical and administrative functions in support of executive staff.
  • Draft correspondence, reports, and other documentation as required.
  • Coordinate calendars and schedule appointments for leadership.
  • Organize and maintain paper and electronic filing systems.
  • Answer and route incoming phone calls and inquiries appropriately.
  • Maintain and update personnel security files in accordance with program requirements.
  • Assist with research and preparation of briefing charts, reports, and presentation materials.
  • Provide administrative support to senior personnel and perform functional duties under the guidance of more senior staff.
  • Support high-visibility or mission-critical program activities as needed.
  • Assist with office coordination and event support when required.


Qualifications

Required Experience:

  • 10+ years of administrative support experience, preferably in a government or DoD environment.

Desired Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with BASICS II (Base Access Security Information Control System).
  • Experience supporting event coordination or office functions.
  • Strong organizational, communication, and multitasking skills.

Additional Requirements:

  • Must be able to obtain and maintain a Department of Defense security clearance.
  • Due to the sensitivity of customer-related requirements, U.S. Citizenship is required.

Max compensation for this role is $76,089. This position utilizes a SCA contract which offers a unique benefits structure which includes an hourly benefit rate in addition to compensation rate. The hourly health and wellness rate can be utilized to offset benefit costs or utilized as additional compensation if the candidate does not require benefits.
