What to Expect

As our Document Control Specialist, the successful candidate will be the cornerstone of our information management system, ensuring the integrity, accessibility, and compliance of all factory documentation. In this vital role, the successful candidate will maintain our document lifecycle from creation through archival, while serving as a liaison between departments and external partners. Expertise in document management systems and attention to detail will help our organization maintain operational excellence and compliance while supporting our team's efficiency and effectiveness.


What You'll Do
  • Process incoming and outgoing documents, ensuring compliance proper formatting, cover sheets, and quality standards
  • Upload and organize files in EDMS with appropriate metadata
  • Create and maintain document placeholders and records
  • Arrange documents into appropriate packages design and turnover
  • Initiate, track, and expedite document review cycles
  • Maintain regular reports and logs identifying open workflows, mail items, submittals, and other documents
  • Maintain project distribution matrix

What You'll Bring
  • Bachelor's Degree in Engineering or equivalent relevant experience
  • 7-10 years of Document Control experience
  • EPC, refinery, plant or manufacturing industry experience strongly preferred
  • Intermediate to advanced skills in MS Office Suite. Basic scripting (PowerShell, VBA) is a plus
  • Proficient with EDMS platforms like SharePoint and Aconex, OpenText, or equivalent
  • Proven ability to maintain data integrity across large document sets (10k+ records); experience with mega projects (~$1B cost, 4+ years) preferred
  • Detail-oriented with exceptional organizational skills
  • Superior verbal and written communication skills; capable of training non-technical staff
