Job Summary: The Senior Administrative Assistant (Sr AA) is charged with applying advanced knowledge of BDO administrative processes and systems, generates complex reports in a variety of software products, trains administrative team members on technical duties and regularly helps to champion new processes and tools in the office and throughout the Firm. This position provides high level, specialized and confidential in-office administrative support and may be assigned to support practice leaders, market or geo managing partners and/or other BDO leaders. Sr. AAs are first to adopt and use administrative systems, follow BDO procedures and policies and monitor and complete various administrative projects timely with minimal supervision. Sr. AA prioritizes work independently and at times, may need to provide support outside standard business hours. This is a variable hybrid role that may require up to full-time, on-site support, based on location and office needs. Job Duties:
- Performs core administrative assistant support for local office
- Handles complex administrative support duties guided by firm policies and procedures
- Provides high level, advanced, specialized, and confidential administrative support to firm leaders, executives, and departments
- Applies advanced knowledge of BDO administrative processes and systems, including the ability to generate complex reports in various software products
- Assists or handles training of assigned administrative team members on assigned technical duties and processes
- Helps to champion new processes and tools
- Supports various departments through standardized processing of assigned tasks using various firm systems, tools, and software which may include:
- Providing support to or overseeing an assigned centralized administrative support ticket(s)
- Providing support to other administrative support teams (tax or Assurance/Document Quality Center) or office
- Providing support to a national, Geo or market team(s)
- Other duties as required
Supervisory Responsibilities:
Qualifications, Knowledge, Skills, and Abilities: Education:
- High School Diploma, GED or equivalent, required
- Bachelor's degree, preferred
Experience:
- Four (4) or more years of administrative experience, required
- Professional services firm experience, preferred
Software:
- Advanced level of proficiency in Microsoft Office Suite, required
- Experience with firm's ERP, preferred
Other Knowledge, Skills & Abilities:
- Able to provide full-time, on-site support if required based on location and office needs
- Able to prioritize duties and responsibilities
- Able to work independently or without direct supervision
- Ability to work in a deadline-driven environment and handle multiple projects / tasks with an attention to detail
- Excellent written and verbal communication skills including superior grammar, spelling, and punctuation that enable the incumbent to work with top level management and other executive level clients
- Possesses superior customer service skills
- Displays independent judgment, finesse and diplomacy in all situations
- Consistently seeks to improve processes and deploys improvements throughout the office/firm
- Excellent organizational skills and detail oriented that enable efficient and effective multi-tasking
