Washington County, located in West Bend, Wisconsin has an excellent opportunity for an Administrative Assistant I with our Human Services Department. This position provides administrative support function for programs within the Human Services Department.
Qualified candidates must possess:
*Knowledge and comprehension of general office procedures, the ability to operate a multi-line phone system and operate various office equipment.
*High School Diploma/GED
*One year of previous office experience, one year of paid computer experience or proficiency in computer operations and electronic appointment scheduling programs.

Position Summary:
Under the routine supervision of the Health and Human Services Office Manager, is responsible for providing reception and administrative support for programs within the Health and Human Services Department. This position is housed in the administrative support unit. The position provides support to the Economic Support Division, the Children and Families Division, and the Veteran Services Office of the Health and Human Services Department. The position also serves as a primary point of contact for community members seeking services and assistance, helping individuals navigate available local and state programs and resources.

Duties/Responsibilities: The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

*Schedules, verifies, and cancels appointments for the staff.
*Directs callers and assists all walk-in visitors.
*Answers and screens phone calls, referring callers to appropriate staff or programs.
*Assists individuals seeking services by communicating program information and directing them to appropriate programs, staff, or community resources.
*Distributes packages and documents.
*Assesses and directs individuals who may be experiencing financial hardship, family crisis, behavioral health needs, developmental and physical challenges, or who have emergent needs to programs and services.
*Maintains a safe, welcoming, respectful, and professional environment.
*Enters information into the state systems and departmental scheduling systems.
*Maintains confidentiality at all times.
*Makes copies of documents and distributes them as appropriate.
*Scans documents using an electronic imaging process.
*Performs notary services for department documents as needed.
*Performs other duties as assigned, including responding to an emergency event.

Work Direction Received: Works under the routine supervision of the Health and Human Services Office Manager.

Supervision Exercised: None.

Decision Making: Decisions concerning work priorities and administrative tasks are made independently within established departmental procedures and guidelines.

Interaction: There is interaction with other County Departments, community partners, service providers, members of the public seeking services, and others outside of the organization.

Essential Knowledge and Abilities:

*Knowledge and comprehension of general office practices and procedures.
*Ability to accurately type and process documents and maintain organized records.
*Ability to interact with staff in a respectful and professional manner while maintaining appropriate boundaries and following established procedures.
*Experience operating a multi-line phone and paging system.
*Ability to operate various office equipment including computers, scanners, and copiers.
*Ability to provide professional and compassionate customer service to clients and staff.
*Strong listening and communication skills when responding to client needs.
*Ability to remain calm and professional when interacting with individuals experiencing stress or crisis.
*Ability to organize and maintain a professional workspace and working environment.
*Ability to work independently in a fast-paced environment while managing multiple priorities.
*Ability to organize and prioritize tasks.
*Flexibility to adjust daily schedule to meet unexpected demands.
*Able to fulfill physical, sensory (seeing and hearing), and cognitive demands including concentration, conceptualization, memorization, and attention to detail.

Training and Experience:

*High School Diploma or GED required.
*One year of previous office experience required.
*One year of paid computer experience or proficiency in computer operations and electronic appointment scheduling programs.
*Typing ability of 50 words per minute.
*Previous office experience within a Human Services Department setting preferred.
*Knowledge of community programs, services, and local resources strongly preferred.
*Notary Public certification preferred or willingness to complete training to obtain certification.
