Description: Title:HR Operations Analyst Reports to:Chief People Officer Department/Location: Remote FLSA Status: Exempt Summary: The HR Operations Analyst plays a critical role in supporting a best-in-class onboarding and employee experience at Guidelight Health. This position is responsible for managing new hire onboarding workflows, coordinating system setup for incoming teammates, ensuring Day 1 readiness, and supporting the optimization of our HR technology ecosystem-including Paylocity, Greenhouse, and related tools. The ideal candidate is highly organized, tech-savvy, proactive, and passionate about delivering seamless, supportive teammate experiences. This role will spend the majority of time overseeing onboarding operations and working cross-functionally with IT, hiring managers, and People Experience partners. Responsibilities:
- Onboarding:
- Launch and manage Paylocity onboarding tasks, ensuring new hires complete required documentation and activities ahead of their start date.
- Oversee new hire system setup, including Paylocity accounts, Greenhouse transitions, Microsoft 365 accounts, HealthStream, KIPU, and other platforms as needed.
- Coordinate with IT for equipment provisioning (laptops, virtual desktop setups, accessories) and ensure timely shipment.
- Maintain onboarding checklists, trackers, and process documentation to ensure consistency and compliance.
- Support Orientation planning, logistics, and execution-ensuring new hires feel welcomed and prepared.
- Resolve onboarding-related tickets, troubleshoot system access issues, and escalate concerns appropriately.
- HR Systems & Data Management
- Serve as a system administrator for Paylocity modules related to onboarding, workflows, and employee changes.
- Partner with the recruiting team to ensure smooth candidate-to-employee handoffs via Greenhouse.
- Maintain accurate data across HR systems, performing audits and ensuring alignment across platforms.
- Maintain personnel files per company, licensing and accreditation standards.
- Process Improvement & People Experience Support:
- Identify opportunities to streamline onboarding processes and enhance operational efficiency.
- Support the People Experience team in delivering initiatives that strengthen engagement, retention, and culture.
- Participate in special projects, including HRIS optimization efforts, automation development, and reporting enhancement.
Qualifications:
- Bachelor's degree from an accredited institution in a related field.
- Experience scaling onboarding processes in a multi-state, high-growth organization.
- Exposure to systems such as HealthStream, KIPU, Microsoft 365, and IT ticketing systems.
- Experience supporting remote and hybrid workforces.
- HR operations or HR technology experience in behavioral health or healthcare setting.
