Overview:

We are seeking an Operations Specialist that will be the overall process leader for staff and guests who are joining and leaving the directorate. This position will also lead the management and continuous improvement of a variety of other internal reporting tools and processes that impact staff and guests in the directorate. Primary focus areas may include but are not limited to tools and processes related to office and lab space management/utilization, effective internal communications, safety related tools/reporting, research sample management processes, and tools to enable better project tracking and staffing.

This position will be responsible for evaluating and enhancing workflows, ensuring alignment with organizational objectives, and providing consistent, high-quality experience for staff. The position will partner cross-functionally to identify process gaps and implement needed solutions to effectively and efficiently convey needed information to staff and leaders.

This position resides in the Biological and Environmental System Science Directorate atOak Ridge National Laboratory(ORNL).

Major Duties/Responsibilities:

  • Own the design and implementation of directorate-level reports and workflows (e.g. local databases, SharePoint, Power BI, automated workflows, etc.) to successfully enable staff engaged in operational processes to perform their supporting actions effectively.
  • Manage and routinely assess BESSD information security practices for such tools and processes.
  • Formulate, monitor, and report related metrics for operational efficiency and drive effective operational initiatives, as requested.
  • Develop and maintain internal policies and processes for visibility into actions involving staff and guests (visitors, collaborators, vendors, educational participants, visiting scientists, etc.) such as joining and leaving the organization.
  • Serve as the recognized authority on guest access to the directorate including interpreting policy, advising leadership, and establishing directorate-specific procedures where guidance is not defined. Resolve exceptions as needed.
  • As a process leader for incoming and outgoing staff/guests, this position will also implement many of the workflows developed/maintained and will possess key SAP roles related to non-employee processing.
  • Develop strong, cooperative relationships with HR staff and ORNL business systems staff to help resolve issues.

Basic Qualifications:

  • A BA or BS degree in Business Administration, Human Resource Management, Information Systems, or a related discipline.
  • A minimum of 2 years of experience in administrative support, personnel, office management, information management, or related areas.
  • Experience in designing and maintaining SharePoint lists and Power BI reports
  • Excellent written and oral communication skills.
  • Outstanding organization skills and strong attention to detail in completing independent tasks
  • Familiarity with human capital management software such as SAP/Success Factors
  • Proficient in Microsoft Office applications

Preferred Qualifications:

  • Skills and/or training in process mapping and process improvement
  • Strong working knowledge of the ORNL Personnel Access System (PAS), along with general familiarity with ORNL policies and procedures.
  • Familiarity with Power Automate or similar tools for workflow execution
  • Motivated self-starter with the ability to work both independently and to participate creatively in collaborative teams across the laboratory.
  • Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.
