Job Summary

The Administrative Assistant will be a key member of the Engineering team, providing comprehensive administrative support to ensure the efficient operation of the department. The ideal candidate will be a proactive, detail-oriented individual with excellent organizational and communication skills, capable of managing a diverse workload in a fast-paced environment.

Essential Duties/Responsibilities:

  • Administrative Support
    • Provide general administrative support to the engineering staff, including managing correspondence, answering phones, and handling inquiries.
    • Prepare and edit documents, reports, presentations, and engineering submission packages.
    • Maintain and organize departmental files, records, and project documentation.
    • Serve as a liaison to the Risk Department to provide feedback from Operations and Engineering as needed.
  • Scheduling & Coordination
    • Manage complex calendars for senior staff, scheduling meetings, appointments, and conference calls.
    • Coordinate internal and external meetings, including booking facilities, preparing agendas, and distributing materials.
    • Make travel arrangements for the team, including booking flights, hotels, and transportation.
    • Help coordinate planning and scheduling of various educational programs presented by the Engineering Dept. (i.e.- Centrifuge School, Boiler School, etc.).
  • Project Support
    • Assist in tracking project timelines and expenditures.
    • Prepare and process purchase orders, invoices, and expense reports.
    • Maintain a Capital Inventory spreadsheet.
    • Maintain Capital Expenditure spreadsheet to help manage US Operations Capital tracking.
    • Develop and maintain tracking for Boiler Inspections, Carrier Risk Engineering reports, Infrared Inspections, and Vibration Analysis.
  • All other duties as assigned by management.

Minimum Qualifications:

  • High school diploma or equivalent is required. An Associate's or Bachelor's degree in Business Administration or a related field is preferred.
  • 3-5 years of experience in an administrative support role, preferably within an engineering, construction, or technical environment.
  • Proficiency in the Microsoft Office Suite (Excel, Word, Outlook).
  • Exceptional organization and time-management skills with a proven ability to manage multiple tasks simultaneously.
  • Experience with data entry and maintaining accurate records.

Preferred Qualifications:

  • Experience with Project Management Software and Oracle or a similar ERP system.
  • Communicates clearly in verbal and written form.
  • Excellent math skills.
  • Ability to work independently and as part of a team.
