Starting Salary: $75,336.00 annually

This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under general supervision, coordinates and supports the administration, development, implementation, and evaluation of departmental projects, programs, and strategic initiatives. Assists executive leadership in planning, monitoring, and evaluating project activities; conducting research and analysis; preparing reports and recommendations; and coordinating efforts among internal and external stakeholders to achieve departmental objectives. Performs related duties as required.

ESSENTIAL DUTIES

  • Works directly with the Commissioner and First Deputy Commissioner to coordinate, support, and advance departmental initiatives, strategic priorities, and special projects.

  • Assists executive leadership in planning, organizing, monitoring, and evaluating projects and programs to ensure departmental goals, objectives, and performance measures are achieved.

  • Develops and maintains project schedules, implementation plans, performance metrics, and tracking systems to monitor progress, identify risks, and ensure the timely completion of deliverables.

  • Coordinates meetings, briefings, stakeholder engagements, and project-related activities, including preparing agendas, documenting action items, and ensuring follow-up on assignments and commitments.

  • Conducts research, gathers and analyzes data, and prepares recommendations, reports, and supporting documentation to facilitate executive decision-making, policy development, and operational improvements.

  • Prepares narrative, statistical, and management reports, presentations, briefing materials, correspondence, and executive summaries utilizing Microsoft Office applications, Adobe Acrobat, and other business software programs.

  • Assists in the development, implementation, and evaluation of departmental policies, procedures, and operational practices to improve organizational efficiency and effectiveness.

  • Coordinates activities among departmental bureaus, City departments, external agencies, consultants, contractors, and other stakeholders to facilitate project implementation and resolve issues requiring interdepartmental collaboration.

  • Monitors project activities, milestones, and performance outcomes; identifies potential risks or barriers; recommends corrective actions; and assists in implementing process improvements.

  • Assists in the preparation and monitoring of project budgets, expenditure tracking, and resource allocation activities associated with assigned projects and programs.

  • Serves as a departmental liaison with City agencies, community organizations, industry groups, elected officials, and other stakeholders to exchange information and support departmental initiatives.

  • Supports the oversight of consultant and contractor activities associated with assigned projects and programs, including monitoring contract deliverables and reviewing work products for compliance with project objectives.

  • Represents the Department at meetings, hearings, community forums, stakeholder engagements, and industry events to support departmental objectives and Citywide initiatives.

Days: Monday through Friday

Hours: 8:30 AM to 4:30 PM

THIS POSITION IS IN THE CAREER SERVICE

Qualifications

Graduation from an accredited college or university with a bachelor's degree, plus three (3) years of work experience performing or supporting project or program administration functions,

OR

seven (7) years of work experience performing or supporting project or program administration functions,

OR

graduation from an accredited college or university with an associate degree, plus five (5) years of work experience performing or supporting project or program administration functions,

OR

graduation from an accredited college or university with a master's degree or higher, plus two (2) years of work experience performing or supporting project or program administration functions.

SELECTION REQUIREMENTS

This position requires applicants to successfully complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview will be selected.
