Description and Requirements

Key Responsibilities

Executive & Calendar Management

  • Proactively manage complex, high-volume calendars; serve as gatekeeper to optimize executive time
  • Coordinate internal and external meetings across time zones
  • Ensure executive alignment to priorities, commitments, and deliverables
  • Anticipate needs and resolve scheduling conflicts with minimal direction

Meeting & Operational Support

  • Drive executive staff meetings (agenda planning, logistics, cadence management)
  • Prepare, format, and maintain high-quality PowerPoint presentations and materials
  • Support agenda creation and track action items with disciplined follow-up
  • Ensure effective execution of leadership routines and operating rhythms

Event & Project Coordination

  • Plan and execute leadership workshops, team events, and offsites
  • Manage logistics end-to-end with strong attention to detail
  • Support and drive organization-specific projects and initiatives
  • Partner with stakeholders across the business to ensure alignment and delivery

Travel & Expense Management

  • Coordinate complex international and domestic travel (multi-leg itineraries)
  • Proactively track travel logistics including flights and ground transportation
  • Manage travel and expense budgets
  • Prepare, submit, audit, and reconcile expense reports in accordance with company policies
  • Educate executives on policies, tools, and evolving procedures (e.g., spend limits, compliance requirements)

Stakeholder & Organizational Support

  • Demonstrate strong understanding of organizational structure and key stakeholders
  • Partner effectively across executive leadership teams and support functions
  • Provide administrative support to broader teams as needed

Leadership & Continuous Improvement

  • Maintain strict confidentiality of sensitive and proprietary information
  • Provide mentorship and guidance to other administrative professionals
  • Identify opportunities to improve processes, tools, and ways of working

Qualifications

  • Associate's degree or equivalent experience
  • 5+ years supporting senior executives in a corporate environment
  • Intermediate proficiency in Microsoft Office 365 Suite (Outlook, PowerPoint, Excel, Teams)
