We are seeking a detail-oriented, empathetic, and organized Intake Coordinator to join our Ease-e Medical supply team. In this role, you will be the welcoming voice and the logistical engine that helps new clients seamlessly navigate their healthcare journey.

As our Intake Coordinator, you will expedite the client onboarding process from start to finish, ensuring our customers get the vital medical supplies they need without the stress. You will be the bridge between clients, physicians, and insurance providers, making a tangible difference every single day.
What You'll Do (Essential Functions)
Welcome & Onboard: Speak directly with referrals or their responsible parties to complete new client paperwork, secure Releases of Information, and log details into Brightree.
Coordinate Documentation: Secure, process, and track initial and renewal physician orders. You'll follow up diligently to ensure everything is returned complete.
Navigate Insurance: Support our customer care staff by verifying insurance eligibility and ensuring clients meet coverage criteria for various products.
Manage CMNs: Proactively manage the renewal process for Certificate of Medical Necessity (CMN) forms 30-60 days before expiration, logging urology, ostomy, enteral, and Face-to-Face documentation.
Be an Insurance Expert: Become an expert on state requirements, primary/secondary insurance eligibility criteria, and where to find this critical data.
Collaborate & Support: Back up our Prior Authorization Specialist with PARs and doctor revalidations, and pitch in with the Customer Care team to answer calls, process orders, and manage vendor drop-ships.
What You Bring to the Team
Education: High school diploma or equivalent.
Experience: Minimum of 3 years of customer service and/or administrative experience. Prior experience in the healthcare industry is highly preferred!
Technical Savvy: Comfort navigating computer software, website portals, and maintaining highly organized electronic files (experience with Brightree, Medicaid/Medicare guidelines, HCPC codes, or ICD10 is a massive plus).
Communication Skills: A warm, professional, and courteous phone presence with excellent written communication skills.
The "Grit" Factor: An eagle eye for detail, basic math skills, the ability to prioritize tasks to meet tight deadlines, and a knack for adapting to changing demands both independently and as a team player.
