Position Summary:
The Workforce Academy Coordinator is responsible for the day-to-day coordination and organization of GPC's Workforce Academy. This role coordinates new hire orientation, training logistics, attendance tracking, documentation, and recordkeeping while providing broad administrative support to Workforce Academy programs and initiatives. This position plays a key role in creating a positive onboarding experience for new workers while helping maintain the systems, processes, and organization needed to support workforce development activities across the business. This position is ideal for someone who enjoys bringing structure to fast-paced environments, managing details, and supporting multiple programs simultaneously.
Key Responsibilities:
Orientation & Onboarding Coordination
- Prepare onboarding materials, packets, presentations, and required documentation
- Ensure all onboarding paperwork is completed accurately and routed appropriately
- Serve as a primary point of contact for orientation-related questions and new hire logistics
- Partner with HR, Operations, and department leaders to ensure a smooth onboarding experience
Training Coordination
- Schedule training classes, development programs, and workforce academy activities
- Coordinate training calendars, locations, materials, and instructor logistics
- Maintain attendance records and monitor completion of assigned training
- Track training certifications, qualifications, and required renewals as applicable
- Support the administration of workforce development and training initiatives
Records, Reporting & Documentation
- Maintain organized training, onboarding, and workforce development records
- Track participation, completion rates, and other program metrics
- Assist with reporting and data collection related to Workforce Academy activities
- Prepare correspondence, reports, presentations, and program documentation
- Ensure records are accurate, organized, and audit-ready
Administrative Support
- Provide administrative support for Workforce Academy programs and initiatives
- Coordinate meetings, schedule appointments, and prepare meeting materials
- Assist with process documentation and continuous improvement efforts
- Maintain organized filing systems, templates, and program resources
- Support special projects and operational initiatives as assigned
Communication & Participant Support
- Communicate training schedules, program updates, and important information to participants
- Respond to routine questions regarding orientation, training, and Workforce Academy activities
- Promote a welcoming, professional, and engaging experience for program participants
- Build positive working relationships across HR, Operations, and functional teams
What We're Looking For:
- 1-3 years of experience in an administrative, coordinator, training, onboarding, or program support role
- Strong organizational skills and exceptional attention to detail
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Excellent written and verbal communication skills
- Strong customer service mindset with the ability to interact professionally with employees at all levels
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Experience maintaining records, tracking data, and coordinating schedules
- Ability to handle sensitive information with professionalism and discretion
- Experience in manufacturing, workforce development, training, HR, or operations support environments preferred
- Bilingual (Spanish) a plus
- Associate's or Bachelor's degree preferred, or equivalent combination of education and experience
